Position Information Posting Number 20110215 Job Title Administrative Assistant to the Dean of Nursing & Health Services Job Category Staff Position Summary Information Job Description Summary Southwestern Michigan College, a two-year college located approximately 30 minutes north of South Bend, Indiana, and approximately 30 minutes from Lake Michigan’s eastern shore is seeking a Full-Time Administrative Assistant to the Dean of Nursing & Health Services who is dedicated, enthusiastic and experienced. The Administrative Assistant provides administrative support to the Dean of Nursing and Health Services and assists the department in carrying out various projects. Duties and Responsibilities:  Assists the Dean with various projects and/or special events.  Compiles and completes documents for data entry into the Banner system.  Compiles, transcribes and maintains minutes of assigned meetings.  Manages the Dean’s reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.  Receives and screen telephone calls and visitors and provides routine information, which requires a detailed knowledge of department procedures.  Initiate and supervise all facets of mass mailings for the Dean.  Responsible for the office day-to-day operations (such as requisitions, mail and customer service inquiries).  Assist with interview arrangements and/or meeting scheduling as the need arises.  Prepare letters, reports, meeting notices, room arrangements and food functions as needed for special meetings for the Dean.  Establishes, maintains and revises record keeping and filing systems. Classifies, sorts and files correspondence and other documents. Develops and implements procedures associated with the overall operation of the office and is responsible for coordinating the flow of work through the office.  Participates as needed in special department projects.  Share coverage for co-workers in the School of Nursing and Health Services as needed during vacations, lunches, and sick time.  Performs other duties as assigned. Required Qualifications • Organizational skills in order to ensure sufficient records and adequate follow-up on pending issues. Attention to detail is required. • High school diploma required, secretarial experience/higher education preferred. An Associate Degree in Business is optimal. • Three to five years experience in office administration or equivalent setting. • Work requires: o Ability to read and write well enough to type, edit, and proofread business correspondence and prepare minutes. o Strong oral and written communication skills. o Problem-solving and analytical abilities. o Organizational skills. o Team player. o High degree of professionalism. • Technical training to include: Word, Excel, PowerPoint, familiarity with various databases, typing, and business English; usually acquired through one year of college or business college. • Must have strong interpersonal skills sufficient to effectively deal with students, college personnel, and the general public. • Ability to maintain confidentiality. • Must be able to operate all related office equipment such as telephones, computers, copiers, and other office equipment for 75% of time. • Generally non-physical work, but may require standing or walking 10-20% of work time. Preferred Qualifications Other Information Requires effective oral and written communication skills, excellent interpersonal skills, computer literacy and the ability to keep confidential information.
