Position Information Posting Number 20110221 Job Title Temporary Part-Time Administrative Assistant to the Director of Development Job Category Staff Position Summary Information Job Description Summary Southwestern Michigan College, a two-year college located approximately 30 minutes north of South Bend, Indiana, and approximately 30 minutes from Lake Michigan’s eastern shore is seeking a 28 hour a week, Temporary Part-Time Administrative Assistant to the Director of Development. This position is responsible for but, not limited to the following: Meet all administrative needs of the Director of Development. Answer phone inquiries, greeting campus visitors, prepare letters, memos, department mail, file documents, prepare gift acknowledgements and maintain Development data in the College’s database (Banner) Provide executive-suite level customer service to handle reception responsibilities for the Alumni Welcome Center & SMC History Gallery. Be able to answer or guide individuals to the proper area of the College if needed. Display independent, self-starting initiatives in project management, database management and problem resolution for matters not requiring the Director of Development’s personal attention. Meet reporting requirements and deadlines, internal administration requirements and assist with maintaining donor and board communications. Schedule and organize meetings with donors, Foundation Friends, Foundation board members, staff and committees. Manage Development/Alumni communication intiatives including website and social media. General responsibility for scheduling and maintenance of the Foundation Room. Coordination role in all stewardship activities with unique “givers,” annual donor campaign and Alumni Plaza gifts. Required Qualifications Minimum of Associate Degree or equivalent work experience. Must have a High School Diploma or GED. Must be available to work weekends and evenings as dictated by event schedules and/or Director of Development. Preferred Qualifications Bachelor’s Degree Other Information Skills: Banner Software experience Strong interpersonal skills and proficiency with Microsoft Office. Sound judgment in solving problems independently and with discretion. Knowledge Of: College organizations, operations, policies and objectives. Database skills and financial functions. Project Management Event coordination and/or management of same. Demonstrated written and oral communication skills. Basic accounting principles and software applications.
