Position Summary/Purpose of Position:

The Business Manager-Operations is responsible for the day-to-day management of the business operations of the Graduate School (GS) and provides budgetary oversight and operational support for the sub-offices within the Graduate School (Graduate Diversity & Inclusion, Postdoctoral Affairs, Funding Opportunities, and Academic, Career and Professional Development). The Business Manager is responsible for financial reporting and forecasting, monthly reconciliation of the GS’s operating accounts (state, revolving, DRIF, foundation, and grant); payroll and human resources, procurement, travel, sponsored research administration, and other business-related functions. The Business Manager reports directly to the Director, Finance & Administration providing administrative and financial support including analysis of expenditures, tracking/transferring funds for GS commitments, preparing activity/financial reports and fiscal closing.

Minimum Qualifications:

Education: Bachelor’s degree from an accredited college or university, preferably in a business related field.

Experience: At least five years of progressively responsible experience in business operations (budgeting, accounting, payroll/personnel, travel, and purchasing) and experience with event planning and/or related skills, preferably in an academic institution.

Additional Qualifications:
  • Must have excellent interpersonal, oral, and written communication skills, with a priority on customer service.
  • Great attention to detail with the ability to handle sensitive and confidential matters with discretion and tact.
  • Must be able to work independently as well as in a team, and interact professionally and diplomatically with a diverse group of individuals (e.g., university administration, donors, visitors, faculty, staff and students).
  • Ability to plan, organize, prioritize, schedule, and execute multiple complex and competing projects/assignments.
  • Proficiency with Microsoft Office (particularly Excel) and Adobe Acrobat.
  • Familiarity with USM policies and procedures, especially as it relates to accounting, personnel, travel, and procurement.
  • Experience with University systems (PHR, KFS, ELF, TCMS, PCMS, KR, BA4, SIS).

Preferences:

  • Experience with Concur and/or Workday
  • Grants management experience.
  • Experience with USM and UMCP Foundations.
  • Knowledge of graduate education and/or experience working with Graduate School policy and graduate students.

Physical Demands

Office environment setting with majority of time spent working at a computer. Light lifting of materials and supplies, less than 30 lbs. Repetitive motions including substantial movements of the wrists, hands, and/or fingers. Required close visual acuity to perform activities such as preparing and analyzing data and figures, viewing computer terminals, extensive reading. Ability to move about campus to attend meetings/events and assist with transportation of materials to meetings/events.
