Job Summary
The Environmental Health Department is a large, dynamic academic department that is on the forefront of research and training related to the environmental effects of various factors on health. Reporting to the Director of Faculty and Academic Affairs, this position works with faculty, researchers, postdoctoral fellows, students, academic appointees, and other administrators. It is responsible for a broad range of administrative tasks necessary to ensure that the department's faculty and academic affairs administration runs smoothly and efficiently.
Position Description
Duties and responsibilities include, but are not limited to, the following:
- Provide direct administrative support to the Director of Faculty and Academic Affairs in a wide variety of faculty and academic related activities including but not limited to:
- Coordinate all student related policies, processes and activities i.e. recruitment, admissions processing, correspond with applicants and admitted students, financial aid, new student orientation, advising students and faculty as to degree requirements, track progress towards degree
- Perform data collection, entry and database management for tracking of course management, room reservations, career development, and degree audits; teaching compensation; training grant data compilation and management; run reports as requested
- Oversee the hiring and processing payments for department teaching assistants
- Assist with the coordination of faculty searches including applications, advertising, travel arrangements and reimbursements, seminar organization, scheduling, record documentation, etc.
- Serve as a point of contact between the department and the Harvard International Office (HIO); manage inquiries related to the visa process and resolve issues during the application and renewal processes.
- Personnel duties include managing the onboarding, appointment extensions/terminations, and departure processes for all academic appointees
- Event planning duties including organizing, scheduling and publicizing events including seminars, presentations, and celebrations. Arrange catering. Schedule and maintain conference room
- Perform other duties as assigned.
PLEASE NOTE: This position has a term appointment of 1/31/2024, with the possibility of extension.
PLEASE NOTE: This is a hybrid position and this position will be based in Boston, MA. Additional detail pertaining to this position will be discussed during the interview process. All remote work must be performed in a state in which Harvard is registered to do business (Connecticut, Massachusetts, Maryland, Maine, New Hampshire, New York, Rhode Island, Vermont, California (exempt staff only), Georgia, Illinois, New Jersey, Virginia, and Washington).
Basic Qualifications
- 3+ years relevant experience is required; a combination of education and experience may be considered
Additional Qualifications and Skills
The following job-specific skills and competencies are preferred:
- Bachelor's degree or combination of education and experience
- Experience in an office environment
- Learns new computer systems and software
- Experience with Microsoft Word
- Organized, attention to detail, follows through, excellent interpersonal/communication skill
- Awareness of and aptitude to appropriately and effectively understand, respect, and adapt to cultural and identity-based difference within group environments
- Knowledge of and commitment to concepts and issues tied to social justice, diversity, equity, and inclusion
- Skills related to creating and supporting an environment that allows for inclusion, effective intercultural engagement, and personal humility and authenticity
