Essential Job Duties

The Internation Programs Coordinator

Program Management Responsibilities:
Manage, as part of a team, a portfolio of faculty-led group programs, from development through post-program. Coordinate and administer a designated portfolio of NC State group programs (currently faculty-led programs within the College of Agriculture and Life Sciences) in collaboration with faculty and program personnel, including managing the program proposal and renewal process; assisting with program budgets in collaboration with the Program Budget Specialist, and develop and maintain program promotional materials. Manage the complete student application and acceptance process in coordination with program directors and Study Abroad Program Associate. In collaboration with the relevant Study Abroad staff, support the program once on site, which may include assisting with health and safety incidents, student conduct, program/budget changes, and any other programmatic questions or concerns, all in adherence with University and office policies.

Serve as the lead contact for designated colleges on the development of new programs. Work closely and maintain appropriate relationships with faculty, academic advisers, and other campus partners throughout the university to ensure programs align with the needs of the university. Monitor student demand for programs within their college. Under the direction of the Assistant Director of Group Programs and in collaboration with college liaisons, help assess existing group programs and identify new programs, as needed, to ensure a broad portfolio of programs that meet the needs of students and academic units.

Global Responsibility: 
  • Terra Dotta Liaison 
Liaison to Terra Dotta, the software provider used for our application system, Terra Dotta for Study Abroad (TDS), and manager for all project requests. Responsibilities include: maintaining a strong working knowledge of system features, identifying and implementing new, unused, or underutilized features that meet organizational needs, and improving the way in which the Study Abroad Office utilizes the system. Lead the internal working group in support of these efforts. Facilitate training with staff and program directors and assist all stakeholders with the use of TDS software. Coordinate and oversee TDS projects and initiatives, liaising between NC State Study Abroad, NC State Office of Information Technology, and Terra Dotta, as needed. 

  • Management of University Travel Registry
Manage our travel registry for University-affiliated non-credit activities, the International Travel Gateway. Engage in regular outreach with campus constituents, including but not limited to the Division of Academic and Student Affairs, the Graduate School, Athletics, Graduate Program Directors, the Office of Information Technology, University Travel, and Regulatory Compliance Services, to ensure awareness of campus international travel policies and students’ need to register in our International Travel Gateway. Advise students on the registration process, and assist with the restricted travel petition process for Gateway registrants, as needed.

  • Advising
Serve as the primary point of contact for students pursuing independent study/research abroad applications, DVM international programs applications, and university-affiliated non-credit international activities. Work with university partners including the College of Veterinary Medicine to provide updates on the application process. Advise students on the various credit-bearing options, including curricular fit, academic credits, program types, March 2023 eligibility, the application process, and financial aid and scholarships. Engage in advising practices that align with University, office, and education abroad best practices; utilizing campus and industry resources.
  • This position is expected to maintain the confidentiality of communications and files and protect student privacy according to federal law and institutional policies. Responsible for hiring, training, and supervising a graduate assistant for incoming exchange;
  • In conjunction with other Study Abroad Office staff, assist with pre-departure orientation programs for outgoing and incoming students, training for program faculty directors and personnel, and other office-wide events;
  • Collaborate with the Director, Associate Director, and Assistant Directors in developing and implementing new programs, projects, and initiatives, as needed;
  • Represent NC State and the Study Abroad Office at state, regional, and national conferences, as needed. Represent NC State and Study Abroad Office on-site visits to international partners and for program development, as needed;
  • Manage additional global responsibilities as needed.

Other Responsibilities

  • Collaborate with the Director, Associate Directors, and Assistant Director in developing and implementing new programs and other new projects and initiatives, as needed;
  • Work closely and maintain appropriate relationships with faculty and academic advisers throughout the university.
  • In conjunction with other Study Abroad Office staff, assist with pre-departure orientation programs for outgoing and incoming students, training for program faculty directors, and office-wide marketing events;
  • Represent NC State and the Study Abroad Office at state, regional, and national conferences, as needed. Represent NC State and the Study Abroad Office on-site visits to international partners and for program development, as needed;
  • Other duties assigned.

Minimum Education and Experience

Master’s degree in a relevant field, or Bachelor’s degree plus alternative or equivalent professional training and experience and minimum two (2) years of work experience in the field of higher education.

Other Required Qualifications

  • Minimum of two (2) years of professional experience in international education, advising, student services, or relevant field;
  • Ability to demonstrate a thorough understanding of studying abroad;
  • Ability to interact with, identify, and understand the needs of under-served and underrepresented populations;
  • Demonstrated success working in a collaborative, team-oriented environment;
  • Excellent communication skills, including public speaking;
  • Detail-oriented and well-organized; ability to prioritize workload and adapt to changing demands and priorities; ability to thrive in a demanding job environment;
  • Strong computing skills, including working with and learning new software; computer proficiency, particularly MS Excel and Google Suite or similar software;
  • Must be willing to work occasional evenings and/or weekends.

Preferred Qualifications

  • Master’s degree in a relevant field
  • Experience studying, living, and/or working abroad or engagement in other relevant communities
  • Previous experience working in a study abroad office and on a university campus
  • Experience working with faculty.
  • Demonstrated ability to collaborate effectively in the development and management of study abroad programs
  • Experience advising and supporting international students
  • Communication skills that enable effective interactions with students and stakeholders from around the globe
  • Previous study of a foreign language
  • Demonstrated commitment to access in education abroad
  • Demonstrated high work ethic with a willingness to work flexible hours, as needed
  • Experience using Terra Dotta Software for Study Abroad
  • Willingness to engage in professional development to stay abreast of best practices
  • The ideal candidate would possess both a high level of professionalism and exhibit empathy and enthusiasm in interactions with others
