The School of Arts and Sciences (SAS) at Rutgers University is the largest academic unit of the University and is comprised of 41 academic departments spanning humanities, social, physical and life sciences and over 100 different majors, plus programs, centers, bureaus and institutes. Posting Summary
Rutgers, The State University of New Jersey, is seeking an Assistant Dean Supervisor and Director of the Office for Seniors for the the School of Arts and Sciences (SAS). This department reports directly to the Associate Dean and Director of the Office of Advising and Academic Services (OAAS) and holds a seat on the OAAS Leadership Council comprised of the Associate Dean and OAAS Directors.
Among the key duties of this position are the following:
  • Provides overall leadership and direction for all aspects concerning the graduation progress of the 6,500 members of the senior class of the School of Arts and Sciences – New Brunswick.
  • Anticipates complex functional needs and develops recommendations and solutions for problems, policies, and services that meet the needs of seniors while coordinating with the priorities of SAS and the University.
  • Develops recommendations and solutions for programs, policies, and services that meet academic, judicial, student life, career development, and special population needs of all SAS seniors.
  • Anticipates issues and independently resolves those issues in the graduation progress for traditional and non-traditional seniors, as well as a significant number of returning students who left Rutgers just prior to graduating, in three annual graduation cycles (August, January, May).
  • Works directly with these diverse units to develop, implement and coordinate processes, policies programs and services to support and officially certify students completing over 90 major options and more than 130 minor and certificate options.
  • Supervises and motivates the team of professional Assistant Dean IIIs, an Administrative Assistant, a Program Coordinator, and a Student Counselor dedicated to the successful and timely graduation of all SAS students.
  • Functions as a seasoned professional with strong organizational communication, problem solving, and decision- making abilities in a complex, diverse environment.
  • Conceptualizes and develops a large-scale, complex, interactive database system that accurately tracks all elements of degree certification and communicates with seniors, departmental chairs, undergraduate directors, administrators, and Office of Academic Services professionals.
  • Accepts downloads on a daily schedule from the University Student Data Warehouse and daily data input from OAAS staff.
  • Devises unique ways to reach seniors, to ensure that they read and act on notices regarding matters integral to their successful graduation.
  • Assesses outcomes of the year-long graduation review process to develop best practices and refine them to maximize student success.
  • Provides seasoned leadership and guidance regarding the academic advice provided to students by the SAS Advising Centers.
  • Expects to be knowledgeable about all aspects of undergraduate student services and be the authority on all issues regarding seniors.
  • Interacts professionally and compassionately with all undergraduate students, as well as their parents.
  • Participates in Office of Academic Services programs and processes, as well as presentations to the university community.
  • Participates in university-wide, SAS- wide and OAAS-wide duties and functions and is expected to provide high-level leadership, direction, advice, and supervision.
  • Collaborates and develops strategic alliances with internal SAS constituents as well as cognate units from other New Brunswick schools and campus-wide services units, such as individual departmental chairs and undergraduate directors program directors and advising coordinators and deans, the Registrar, the Dean of Students, the Office of Financial Aid, The One-Stop Service Center, the Division of Intercollegiate Athletics, RU Global, the ombuds office, medical professionals, and others who have a vested interest in ensuring that SAS students graduate.
  • Maintains and enhances school and university-wide leadership capabilities in the role as resident expert on academic graduation matters as well-being.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Master’s degree in an academic discipline.
  • Five (5) years of experience in an academic affairs setting.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must demonstrate knowledge and understanding of strategic planning, management, team-building, and collegial leadership skills.
  • The Assistant Dean/Director of Seniors must have significant administrative and database management experience, possess outstanding organizational and communication skills.
  • Must have substantial understanding of the issues and trends related to academic progress and undergraduate students, in particular graduation requirements for seniors and the demonstrated skills to apply principles and concepts to everyday challenges.
  • Must posses political astuteness, excellent decision-making skills, public speaking abilities and the ability to interface with a diverse group of constituents ranging from students to parents to the general public.
  • Must have demonstrated ability to work collaboratively across the university with the goal of providing outstanding service to seniors and the general student population.
  • Must have excellent computer skills and be comfortable communicating via social media channels.
  • Must have working knowledge of all Office applications and be able to learn new systems at a rapid pace.
  • Must demonstrate strong attention to detail to successfully manage a large, complex, and varied student population.
Preferred Qualifications
  • 7 years of experience with increasing responsibilities.
Equipment Utilized
  • IMS, Tableau, Microsoft Office Suite, Sakai, WebNow, ImageNow, MyAdvisor, and Degree Navigator are used in a daily capacity in desktop, laptop,and mobile platforms. Various customized databases are also used daily, including the Senior Database, MyMajor/Grad Date, and the re-enrollment database.
