Montgomery College has an immediate need for a full-time Administrative Aide II in the Department of Biology in Rockville. The typical work schedule is Monday-Friday, 8:30 am to 5:00pm. This is a non-exempt, non-bargaining, grade 19 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College.

This position provides administrative, technical and secretarial support to the Department of Biology on the Rockville Campus. Reporting to the Chair of the department, the Administrative Aide II has duties that include but are not limited to:

  • Serve as the Administrative Aide to the Biology Department Chair, Full-time and Part-time Biology Faculty, and Biology Lab Staff.
  • Serve as the department’s liaison between students, employees, departments, and/or visitors by providing timely information, referrals, or other department services via phone, email, or office visits.
  • Provide administrative, technical, and secretarial support to the department.
  • Facilitate administrative procedures related to the programs and services offered by the department, such as processing personnel, purchasing, and scheduling actions
  • Assist the Department Chair with part-time faculty hiring, onboarding, and department orientation
  • Perform data entry and validation to maintain accurate student and employee records
  • Assist with planning and implementing department events and meetings
  • Maintain inventory and budget for office and classroom supplies.
  • Hire, train, and supervise student workers.
  • Ensure that the department office complies with established college policies and procedures

Required Qualifications:

  • High school diploma or GED including or supplemented by courses in word processing and/or office practices.
  • Three (3) years of progressively responsible experience performing general office and administrative support duties including customer service.
  • Knowledge of the following: office support procedures and practices; English usage to include spelling, grammar, writing styles, and formats; mathematical computations and techniques needed to collect, organize, and report information/data in a narrative or statistical format; record keeping principles and procedures; basic budget management
  • Experience accurately handling data entry, maintaining spreadsheets, and/or using databases.
  • Ability to draft written correspondence, to provide customer service to students, employees, and visitors, and to manage multiple projects simultaneously.
  • Knowledge of PC hardware and software, including skill in using office applications such as MS Word, MS Excel, MS Outlook, MS Teams, and Zoom.
  • Ability to exercise confidentiality.
  • Strong organizational skills and the ability to work independently to meet deadlines.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.

Preferred Qualifications:

  • Associates degree.
  • Experience performing general office and administrative support duties including customer service.
  • Strong interpersonal skills.
  • Excellent communication skills, verbally and written.
  • Experience with software used for personnel, procurement, payroll, budget management, and/or student information (such as Workday and/or Banner).
  • Experience working in a higher education office environment.
  • Experience hiring, training, and supervising student workers.

Hiring Range: $20.99 to $26.24 per hour.  Initial salary placement is based on candidate experience and internal equity. Please include a complete resume/application including all relevant or related experience.
