Job Summary

The HR Coordinator will be responsible for several major office functions, including TRS reporting and payment, serving as the backup for payroll, and administration of the Employee Training Software, SafeColleges.

In addition, the HR Coordinator will work closely with the Executive Director to assist with various administrative tasks to ensure the deadlines and priorities of the Human Resources/Payroll office are met.

Required Qualifications

Associate Degree or equivalent (60 college credit hours)
Minimum of two years of relevant administrative experience; must include demonstrated work experience with detail-oriented tasks of a significant nature, interpreting policy and disseminating information, and displaying good judgment in resolving issues
Computer literacy to include proficiency with Microsoft Office Suite, with emphasis on proficiency in Microsoft Excel
Knowledge of general office equipment, including copier, fax machine, and multi-line telephone
Demonstrated strong communication and interpersonal skills
Must be a self-starter, detail-oriented, and have strong time management and organizational skills
Ability to consistently meet daily, weekly, and monthly deadlines while maintaining accuracy
Strong problem-analysis and problem-resolution skills
Ability to maintain confidentiality

Preferred Qualifications

Higher education experience
Familiarity with Jenzabar or other HRIS software

Essential Functions

Work closely with the Executive Director of Human Resources/Payroll to assist with a variety of administrative tasks to ensure the deadlines and priorities of the office are met
Prepare and submit monthly payment for Teacher Retirement System of Texas (TRS) contributions to the Comptroller (Texnet) promptly and by the stated deadline
Prepare monthly TRS reports accurately and promptly by the stated deadline
Assist with data entry for payroll; serve as the backup for payroll
Serves as backup to the Associate Director for College hiring processes and other items as assigned
Responsible for the administration of SafeColleges, the College’s employee training software to ensure timely uploads, updates of employee information, and monitoring of employee’s successful completion of required training
Assist the Executive Director with the administration of College insurance programs
Maintain employee directory information in Jenzabar and on the web to ensure timely updates and matching information; a minimum of semi-annual audits are necessary to ensure the accuracy of information and the addition of adjunct instructors
Assist with the submission of workers’ compensation claims and associated reports
Prepare personnel memos for monthly Board meetings
Maintain a list of unduplicated, enrolled students for medical professional liability insurance
Update Board, Administration, Faculty, and Staff sections of the Catalog, annually
Assist with general office duties, including reception, telephone communications, and public contact
Assist with part-time employee paperwork and ID cards as needed
Assist the Executive Director with all activities related to preparing the full-time employee salary budget, including salary schedules, etc.
Assist current and former employees with inquiries regarding the retirement withdrawal process
Prepare PSFs for approval by the Executive Director daily
Assist with pre-employment background checks, and driver records checks as needed
Extract data from HRIS Payroll/Benefits System to create ad-hoc reports
Assist with ERS Annual Enrollment and the Midland College Benefits Fair
Compile data for completion of quarterly veterans report
Cross-trained and able to provide coverage for others in the HR department
Complete salary surveys or other reports as needed
Other duties as assigned

Physical Demands

Frequently moves equipment or paperwork weighing up to 20 pounds
Must be able to remain in a stationary position 50% of the time

Repetitive use of a keyboard at a workstation
The person in this position frequently communicates with others; must be able to exchange accurate information
The person in this position needs to occasionally move from office to other locations on and off campus
Office setting
Duties indoors and some outdoors
Ability to work extended hours as needed, especially during the months of August and September
Travel for training, meetings, and events both in and out of town

Security Sensitivity

All Midland College positions are security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. An employment offer is contingent on completion of a satisfactory criminal background investigation.

Min Salary

$39,000 per year (annualized salary)

Max Salary

$42,000 per year (annualized salary)

Pay Statement

Salary is commensurate with educational qualifications and experience.
