Summary

This position will provide pre- and post-award grant administration support for multiple PIs within the Division of General Medicine. Reporting directly to the Finance Manager, this position is responsible for managing the administrative research process including developing project budgets, assisting with budget justifications, coordinating with internal and external entities, and ensuring all institution and sponsor guidelines are followed for proposal submissions. Candidates for this position are expected to perform a wide range of financial functions including budget projections, expense analysis, account reconciliations, and journal entries. Candidates should exhibit strong organizational skills and demonstrated ability to collaborate effectively within a complex organization. The division is seeking a highly competent, motivated and organized professional to serve as part of our finance team.

The ideal candidate will organize, prioritize, and complete tasks in a timely manner. The position requires strong verbal and written communication skills, interpersonal skills, and strong organizational skills including attention to detail. The ability to work independently as well as part of a team and regularly exercise judgment in the application of policies, procedures, and methods is imperative. This position calls for open collaboration with a wide range of professionals.  Must possess the ability to prioritize tasks and meet deadlines. Positive attitude and customer service orientation is a must.

Responsibilities*

  • Prepare and assist PIs with the development of complex, multi-year budgets and justifications for a variety of funding agencies while ensuring all unit, institution, and sponsor guidelines are followed.
  • Meet with PIs to advise, coordinate, and compile proposal documents needed for successful submissions of grants and contracts.
  • Prepare Material Transfer Forms, Unfunded Agreements, Non-Disclosure, and other forms of agreements.
  • Reconciling faculty and divisional accounts utilizing M-Pathways and Business Objects. This includes general, sponsored, gift, designated, and auxiliary funds.
  • Ensure compliance with accounting regulations and standards (e.g., Uniform Guidance guidelines, UM Cost Accounting Standards, specific sponsor guidelines) for all expenditures.
  • Preparation and set-up of subaccounts, subcontracts, and cost-sharing activities as necessary.
  • Analyze and complete financial status reports, Uniform Guidance reports, award change requests, and journal entries.
  • Work closely with PIs on budget projections, re-budgets, and monitoring account balances.
  • Collaborate closely with faculty, ORSP, Financial Operations, and Shared Services personnel to resolve issues arising on all assigned projects.
  • Assist with annual All Fund Budget preparation and other ad hoc reports as requested by division and department.
  • Act as a resource for other staff.

Required Qualifications*

  • Education and experience:
    • Senior Level: A Bachelor's degree and 5-7 years of progressive research administration experience or equivalent combination of education and work experience.
    • Intermediate Level: A Bachelor's degree and 3-5 years of research administration experience or equivalent combination of education and work experience.
  • Candidate must have excellent oral and written communication skills, attention to detail, strong interpersonal skills, and organizational skills.
  • Ability to work independently as well as effectively in teams; must have the ability to work comfortably with individuals at all levels.
  • Must reliably manage responsibilities and manage time effectively, and be able to provide exceptional customer service in a fast-paced environment where there are often multiple, conflicting priorities.
  • Be a highly dependable team player with a positive attitude, seeking to be an integral part of the Division's success.
  • Have the ability to work under pressure in a fast-paced, multi-tasking environment with the ability to maintain and respect confidentiality.

  • Proven experience and proficiency working in Microsoft Excel.
  • M-Pathways, Business Objects, and Wolverine Access experience.
  • Knowledge of University policies and procedures.
  • Experience working with Ann Arbor VA split appointments.
