The College and the District

Skyline College, which was designated as a Hispanic Serving Institution in 2015, is part of the San Mateo County Community College District, which currently enrolls approximately 23,000 students, the majority of whom are from minoritized populations. Of the students at Skyline College, 2.6% are African American, 0.2% are American Indian, 18.2% are Asian, 18.4% are Filipino, 18.8% are Latinx, 1.2% are Pacific Islander, 19.3% are White, 19.8% are Multi-Ethnic, and 1.7% are unknown.

The Position

The Retention Specialist will be working to recruit and retain students in programs developed under STEM grants. The Retention Specialist will be expected to leverage resources whenever possible by working with other student support services. Under direction, the employee performs a variety of preparatory work and planning and develops strategies to support and enhance student completion and success. Public contact is extensive and primarily includes students, faculty, and staff, but can also include vendors and staff in other educational institutions and agencies, for the purpose of exchanging subject matter and procedural information. A high degree of independent judgment and creativity are required to resolve a wide variety of minor and occasional major problems that may arise. Consequences of errors in judgment can be moderately costly in public relations and employee time; however, supervisory controls are available to limit the risk of serious error. A Retention Specialist can perform a wide variety of duties within the scope of the classification. A Retention Specialist can direct the work of student assistants, clerical staff, and instructional aides, as assigned.

This is a temporary position funded by STEM grants and may be eliminated once the funding has been exhausted.

Duties and Responsibilities

The duties below are representative of the duties of the classification and are not intended to cover all of the duties performed by the incumbent(s) of any particular position. The omission of specific statements of duties does not exclude them from the position if the scope of work is similar, related, or a logical assignment to this classification.

1. Recruits and retains students in programs funded by STEM grants, including developing strategies to enhance student completion and success

2. Proactively contacts and meets with program participants to monitor their progress, relay information from professors, make necessary referrals, etc.

3. Exchanges information with students, faculty, and staff regarding subject-matter, resources, materials, policies, and procedures associated with the classroom, laboratory setting, college programs, and services

4. Provides wraparound student support to all participants in STEM programs in order to help them address challenges inside and outside of school, including, but not limited to, developing successful study habits, communicating and working individually with faculty, attaining work experience, transfer prep, financial aid assistance, referrals to on- and off-campus services as needed

5. Tracks student involvement in support resources on-campus including academic counseling and development of a Student Educational Plan (SEP), as well as applications for transfer, financial aid, scholarships, internships, and completion of Transfer Admission Guarantees (TAGs)

6. Assists in planning of activities and delivering services to students, including organizing workshops, selection of student participants, and accompanying students to off-campus events

7. Organizes and facilitates study skills workshops as needed covering topics such as, but not limited to, time management, stress reduction at school, resume writing, etc.

8. Works with college staff in organizing an academic support structure that includes: Supplemental Instruction, study groups, tutoring, and other support services to enhance student retention and success in STEM courses

9. Works with faculty and STEM grant project partners to deliver high-quality and engaging program orientations before Spring semester in order to build cohort community, introduce faculty and partners, and implement study skill development

10. Attends meetings, conferences, and workshops to obtain current subject-matter, procedural, and other information

11. Participates in division and department planning activities

12. Makes presentations to small and large groups to publicize services and programs as assigned

13. Provides encouragement and support to students who are undecided about a major by providing information regarding specific majors

14. Develops an early alert system to identify students who are under-performing in specific coursework and collaborates with instructional aides and tutors to intervene

15. Works with faculty advisors and student leaders of clubs to develop programs that promote academic success

16. Uses a variety of computer software to organize and maintain learning resources and related data, compose and prepare correspondence, reports, publicity and other materials; sets up and maintains online and manual files; enters, modifies, and retrieves a variety of statistical and other data for special and regular reports

17. Creates and distributes STEM program marketing materials, including fliers, applications, etc.

18. Trains and leads the work of student assistants, clerical, and other staff as assigned

19. Performs other related duties as assigned

Minimum Qualifications

• A combination of education and experience equivalent to a Bachelor’s degree from an accredited institution

• Successful experience of increasing responsibility that has included event planning, assessment, and evaluation

• Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff

• Demonstrated oral and written communication skills, including public speaking

• Experience with the use of a variety of computer software to compose and prepare correspondence, forms, reports, presentations, and other written materials

• Experience with research and compiling data for, formatting and preparing statistical, financial and other reports

• Skill in setting up and maintaining online and manual files

Knowledge, Skills and Abilities

1. Skill in working with diverse adult learning styles

2. Skill in multitasking and workload prioritizing under deadline pressure, using independent judgment for decision-making

3. Skill in the use of Microsoft Office Suite and web-based content management systems to compose and prepare a variety of correspondence, reports, publicity, and other materials

4. Skill in establishing and maintaining respectful and sensitive working relationships with people who are diverse in their academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds

5. Skill in oral communication, including public speaking

Physical Requirements

This classification requires sitting for various lengths of time; the ability to type, use phone, occasionally lift, carry, push, pull, or otherwise move objects of light to moderate weight; work at a computer, including viewing a monitor for various lengths of time, repetitive use of keyboard, mouse or other control device, dexterity of hands and fingers to operate keyboard; and ability to operate a motor vehicle and drive to off campus locations in order to perform the essential functions.

Benefits

Benefits include paid holidays, vacation and sick leave. The District pays all or a portion of monthly medical plan premiums (depending on the coverage) and pays all of the monthly dental and vision plan premiums for employees and eligible dependents. Additional paid benefits include life insurance, salary continuance insurance, and an Employee Assistance Program. Classified employees participate in the Public Employees’ Retirement System, a defined-benefit retirement plan through the State of California. Optional tax-deferred 403(b) and 457 retirement plans are also available.
