Viterbo University is accepting applications for a Human Resources Assistant. This is 12 month, full time, exempt position.
The Human Resources Generalist assists and provides support to the Human Resources Department in a variety of activities related to the Recruiting, Onboarding, Training, and Administrative functions of the Human Resources department. Also provides support related to all Human Resource practices, policies, procedures and programs.
Reports to: Director, Human Resources
Supports the day-to-day administration of systems and programs (e.g., Human Resource Information Systems, unemployment compensation, tuition reimbursement tracking, health and welfare benefits, compensation, performance management, compliance training and EEO/Diversity)
Assists with full cycle recruitment processes including but not limited to: applicant sourcing, recruiting, pre-employment screening, interviewing, processing background checks and employee onboarding.
Responsible for making candidate travel arrangements (flight, hotel, transportation)
Maintains and audits the following items on a regular basis: personnel files, I-9's, new hire/termination files, training records, time and attendance records, worker's compensation and unemployment compensation
Responsible for administration of employee FMLA processing
Responsible for the accurate and timely entry of all HR data transactions related to employment such as new hires, job changes, pay changes, employee personal info changes and separations and submit copies of all changes to the Business/Payroll Office
Assist with coordinating and facilitating courses including, but not limited to: New Employee Orientations, Mission Orientations, professional development and ongoing employee training
Responsible for administration of the tuition remission process
Maintains the Human Resources documents on the University's website and bulletin boards
Serve on campus-wide committees as appropriate
Provides customer service and support for internal customers
Participates on Human Resources projects and initiatives
Assist with employee requests regarding human resources rules and regulations
Performs clerical administration such as: phone calls, processing mail, scheduling and calendaring meetings, maintaining filing systems, and ordering supplies
Maintain strong and cooperative working relationships with other university departments.
Perform other duties, responsibilities, or special projects as assigned
An Associate's degree required, with an emphasis in Human Resources with 3-5 years experience or Bachelor's degree in Human Resources with 1-3 years experience.
1-3 years of experience in an administrative and customer service based support role or related area is required
Proficiency with Microsoft Office
Effective written and oral communication skills
Strong attention to detail and critical thinking skills
Strong organizational and time management skills; ability to multitask and prioritize effectively
Ability to work independently and under minimal supervision
