Responsible for managing a group of financial aid associates that process and review student financial aid application records that are assigned by caseload and are distributed through an automated workflow process. A small caseload will be maintained in which a variety of tasks and duties are required to ensure eligibility and receipt of federal, state and institutional aid programs. Responsible for training, monitoring, and resolving questions or complex issues.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

  1. Oversee the work completed by a group of Financial Aid Associates;
  2. Monitor workflows to ensure timely processing, meeting regulatory requirements, and providing outstanding customer service; 
  3. Work with the Director of Financial Aid Customer Service and Processing to develop and conduct training for the group of FA Associates;
  4. Ensure the group is trained have a strong understanding of the processing requirements;
  5. Research complex issues and respond to FA Associate questions;
  6. Service as a liaison between the Campus Customer Service Coordinators and the Financial Aid Associates;
  7. Service as a liaison between the FA Assistants in the call center and the FA Associates to provide students with timely answers to processing questions;
  8. Assist with escalated student calls regarding file status and awards;
  9. Work with the Director of Financial Aid Customer Service and Processing to create efficiencies and resolve problems;
  10. Monitor R2T4 compliance requirements and audit records on a monthly basis;
  11. Manage a case load of student records for file review, verification, reconciliation, and ensuring eligibility. Caseload management records include summer aid processing, CPS selected records, institutional selected records, revision requests, C-Code resolutions, NSLDS reviews, R2T4 calculations and returns, over-awards, packaging adjustments, student loan processing, managing suspense records, resolving conflicting or discrepant information, and working records in assigned workflow in a timely manner; 
  12. Responding to campus staff requests for file review and processing;
  13. Counsel students and parents on file completion requirements;
  14. Perform need analysis and packaging using Federal Methodology to determine student’s eligibility for federal, state and institutional loans, grants, scholarships and student employment programs;
  15. Make professional judgment decisions in extenuating circumstances to determine student’s eligibility and awards;
  16. Monitor student eligibility requirements and review updated information;
  17. Establish partnerships with lenders and guarantee agencies, Social Security Administration, Selective Service Administration, Internal Revenue Service and the Immigration and Naturalization Service to resolve discrepancies on behalf of students;
  18. Responsible for the efficient processing of student records from application to disbursement;
  19. Participate in developing strategies for securing additional sources of funding to meet student’s financial need;
  20. Participate in developing and implementing default management strategies;
  21. Participate in developing and implementing strategies retention to support enrollment management;
  22. Enforce regulatory standards in compliance with Federal, State and Institutional requirements;
  23. Comply with and adhere to FERPA, FTC Red Flag Rules, Gramm-Leach-Bliley, HIPPA and Federal Financial Aid Consumer Information Laws;
  24. Comply with and adhere to the Ethical and Code of Conduct policies and procedures  ; and
  25. Completion of discrepancy reports as distributed by a financial aid director.


To perform this job successfully, an individual must be able to perform the essential duties and responsibilities listed above.  The qualifications listed below are representative of the education, experience, knowledge, skills, and/or abilities required.



Bachelor’s degree required.



Four (4) years working directly in a financial aid office required.


Experience working with security sensitive information and confidential records.


Experience with word processing, database, spreadsheet and other computer skills.



Thorough knowledge of federal, state and institutional financial aid programs;

Prior employment in a job with a great deal of customer contact is required;

Position requires strong commitment to customer service

Excellent interpersonal, oral and written skills; and

Able to work independently; able to handle multiple tasks, set priorities and meet deadlines.
