Berkeley City College (BCC), one of California’s 112 community colleges, is centrally located in downtown Berkeley, only 1-1/2 blocks from the U.C. campus. Job Description Summary

Under Supervision of the Vice President of Instruction, the Staff Assistant performs clerical and technical work in support of the Office of Instruction.

Duties & Responsibilities

• Provides information verbally or in writing where judgment, knowledge, and interpretation of policies and regulations are necessary in response to inquiries for information relating to instruction, related services. the college and its programs.

• Performs a wide range of clerical, personnel, and budgetary control duties related to the operations of the Office of Instruction.

• May supervise clerical and student personnel.

• Initiates and prepares correspondence and reports; designs and revises documents, records, and forms utilizing PC and MAC-based word processing and spreadsheet software programs (e.g., MS Office Suite, including MS Word, MS Excel, MS Access, MS PowerPoint and FileMaker Pro) and mainframe systems.

• Assists in preparing and publishing information from the Office of Instruction, including the class schedule and the catalog.

• Conducts research assignments and assists in the preparation of reports utilizing applicable spreadsheets.

• Analyzes data related to instructional or college-wide programs. Creates computer applications that permit the management of data, production of technical reports, and the maintenance of records.

• Establishes and maintains complex, interrelated filing systems.

• Reviews and revises documents, records, and forms for accuracy, completeness and compliance with applicable rules and regulations.

• Maintains various calendars and schedules a variety of appointments, meetings and conferences.

• Maintains confidential files and information.

• Maintains current information on the Office of Instruction web pages.

• Assists in the planning and coordination of Office of Instruction events, workshops and conferences.

• Assists with processing fee-based courses.

• Frequently, serves as the liaison and first line of contact for the Office of Instruction to administrators, faculty, staff, students, business and industry, and the community.

• Reviews and distributes mail and refers matters to the assigned administrator in order of priority; receives and screens visitors and telephone calls and refers to appropriate staff members.

• Performs other related duties as assigned.

Minimum Qualifications

1. Three (3) years of clerical and technical experience; or an equivalent combination of training and qualifying experience that could likely provide the desired knowledge, skills, and abilities to perform the duties of the position.

2. Knowledge of administrative and office procedures and practices.

3. Knowledge of basic research and analytical methods.

4. Knowledge of proper English usage, grammar and punctuation, and the ability to speak and write effectively.

5. Knowledge and proficiency in the operation and use of personal computers utilizing word processing, spreadsheet and database management software programs (e.g., MS Office Suite, MS Word, Excel, Access and PowerPoint, etc.) and the Internet browser, websites, and e-mail.

6. Ability to prepare and maintain accurate, complete and detailed records and reports.

7. Applicant must have demonstrated cultural competency, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college staff, faculty, and students.

• Ability to learn PROMT and PASSPORT systems and basic WordPress rapidly.
