Job Description: The newly created Associate Director of Faculty Administration will serve as a key role within the College of Arts & Letters Deans Office. This position oversees three senior administrative coordinators who directly support the college divisions: Arts, Humanities and Social Sciences. This position manages the appointment and promotion process including regular and non-regular faculty, research faculty, adjunct faculty, postdocs and visitors.

The Associate Director for Faculty Administration coordinates the administration, training and communication for the college as it relates to promotion, review hiring and reappointment policies. This position is a key liaison to the Provosts Office and coordinates the college data regarding faculty searches.

A successful candidate brings enthusiasm and a commitment to process improvement and a customer service mindset. This individual will train and provide guidance to all administrative coordinators throughout the college on faculty related administrative processes. This position reports to the Director of Operations. With more than 500 regular faculty across 20 departments and several institutes, centers and programs the College of Arts & Letters is the largest college at the University of Notre Dame. The successful candidate will enjoy the complexity of leading critical administrative processes for the College while providing great customer service and creative thinking in order to ensure everything runs smoothly for our faculty and staff.

Essential Duties & Responsibilities:
  • Lead, design, implement and communicate all faculty hiring processes to ensure hiring is done in a quick, efficient and accurate manner and in alignment with college and university requirements
  • Oversee the appointment and promotion process including regular and non-regular faculty, research faculty, adjunct faculty, postdocs and visitors. This includes but is not limited to: hiring, leaves, job creation, promotion and reappointments, data integrity and analysis
  • Create, maintain and implement a training program for the entire college to ensure transparency and understanding for all faculty hiring as well as all hiring documents are accurate and complete upon receipt in the Deans Office
  • Oversee the administration of appointment packets for tenure, promotion processes for non tenure-track faculty, faculty leave packets, retirements and resignations
  • Hire, train and manage senior administrative staff within the deans office to increase workflow and communication across divisions
  • Work closely with the Provosts Office to increase efficiencies and drive accountability across the college
  • Drive accountability within departments and within the Deans Office to ensure all functions are being handled effectively and efficiently

Minimum Qualifications

Education and Experience:
  • Bachelors degree (4 years)
  • 3 to 4 years of experience working on faculty administrative processes (hiring, leaves, etc.)
  • Or in-lieu of a BA/BS at least five years of related experience working in a university setting
Skills:
  • Strong organizational, administrative and time management skills
  • Initiative and judgment to independently problem solve and prioritize workload in a multi-task environment while maintaining careful attention to detail
  • Ability to work independently and implement short- and long-term goals independently, but also as a strong team member when the situation warrants
  • Strong analytical, research and problem-solving skills
  • Very strong interpersonal and oral and written communication skills; previous experience in a multicultural, multi-language setting preferred
  • Previous experience working with highly sensitive and confidential material and demonstrated ability to maintain confidentiality and security of information required
  • Very high level of computer expertise and continued interest in maintaining skills:
  • Computer proficiency in word processing, spreadsheets, database systems including Microsoft Word, Excel, PowerPoint and the Internet
  • Thorough knowledge of the visa application and compliance process is preferred.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
