Job Description


The East Asian Studies Center (EASC), which is a part of the University of Southern Californias Dornsife College of Letters, Arts and Sciences, serves as USC's principal organization for dedicated leadership, coordination and support for the growing interdisciplinary education, research activity and community outreach concerning East Asia. Today, over 100 USC faculty from 34 USC departments and schools are affiliated with EASC, and we serve over 400 undergraduate and graduate students, visiting fellows, postdoctoral scholars, and the wider USC and southern California community. EASC actively seeks out external funding to support programming on East Asia at USC which has allows us to award USC students and faculty through our various fellowships to study and conduct research in East Asia and to send undergraduates each summer to study abroad in China, Japan and/or Korea through our scholarship summer study abroad program. In addition, we organize and sponsor numerous events throughout the year including international conferences, film screenings, speakers series, new book series and other professional development seminars.

 

The Program Assistant position is critical to the mission and operation of the USC East Asian Studies Center and the duties will include, but are not limited to:  

 

  • Coordinates program services and/or activities. Schedules meetings and/or events, secures travel arrangements for guest speakers and conference participants, processes payments, honoraria and reimbursements, and conducts evaluations and follow-up surveys. Provides leadership and guidance for student workers and/or volunteers. Arranges with vendors for services. Ensures satisfactory follow through on assigned areas of responsibility including coordinating the Centers day-to-day operations and EASC sponsored programs.
  • Coordinates production and distribution of EASC program materials including meeting agendas, reports, informational materials, marketing materials, and promotional materials through website updates and maintenance, weekly email newsletter (writing articles and coding through MyEmma), and social media communications such as Twitter, Facebook, LinkedIn, Instagram, Youtube, etc.
  • Serves as the point person for EASC academic programming including course scheduling, ordering books and coordinating evaluations for EASC courses and additional logistics for study abroad courses.
  • Assists in program budget preparation and administration of EASC sponsored and non-sponsored accounts. Researches costs, tracks and monitors budget expenditures and reports on variances.  
  • Provides client services by responding to inquiries and requests for information regarding specific EASC programs. Assists prospective and participating students by providing information about programs, policies, and procedures. Screens and prioritizes incoming calls and email, responds to inquiries or requests for information as appropriate.
  • Manages mailing lists of EASC constituents including faculty, students, fellowship recipients, alumni and relevant scholars and community leaders throughout the region. Overseas the data collection and updates biannual reports and for EASC community reference.
  • Assists in the administration of EASC gift, grant, endowment and fellowship programs including the coordination of logistics, promotion and recruitment, processing of applications, conducting evaluations, and other duties as needed.
  • Coordinates and compiles graduate program applications for admission and assists with graduate student processes for EASC.
  • Researches and gathers information for program purposes which many include program effectiveness, client needs assessment, budget preparation, etc. Conducts preliminary analysis of data. Submits recommendations and prepares reports, as assigned.
  • Coordinates program services with other offices and staff of campus. Serves as a resource for program information. Represents program on university committees as requested.
  • Assists in program fundraising activities. Researches and identifies funding sources. Assists in proposal writing and production.

 

Hourly range: The hourly rate range for this position is $24 - $28. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidates work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
