Minimum Hiring Annual Salary:

$51,580.00

 
Maximum Hiring Annual Salary:

$54,159.00

 
To attain the maximum annual salary, employee must meet all minimum qualifications plus:
  • 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.
 
The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

Primary administrative support to the Associate Vice President of Academic Affairs to leverage effective use of Associate Vice President of Academic Affairs time. This position is also responsible for coordinating and centralizing Academic activities through the Associate Vice President of Academic Affairs office and collaborating with other Staff Executives and Staff Associates regarding academic projects, processes, and deadlines. Routinely responds to inquiries from faculty, staff, and public that requires an extensive knowledge of college procedures and policies. Assist the Academic Affairs Business Specialist in the development and administration of the academic budgets as requested. Provides administrative support for areas under the purview of the Associate Vice President of Academic Affairs as determined by the Associate Vice President of Academic Affairs.

 
Administrative Support for Associate Vice President of Academic Affairs:
  • Exercises discretion in handling administrative records, files, and similar confidential items.
  • Manages multiple scheduling/calendar events.
  • Facilitates and coordinates meetings.
  • Prepares letters, memos and other related documents from scratch, rough drafts, and corrected copies utilizing various business software programs.
  • Provides administrative support for production and dissemination of meeting agendas and supporting materials. Records and files meeting minutes as needed.
  • Creates files and records within overall office protocols and guidelines, updates and retrieves files and records as needed.
  • Arranges travel and reconciles p-card statements.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often under deadlines.
  • Manages spreadsheets related to progress of Policy and Procedure reformation.
  • Manages spreadsheets related to progress of Academic Affairs strategic tactics.
  • Complete forms related to daily business processes.
 
Maintain the Academic Plan:
  • Collect and coordinate information needed to create the yearly and multi year Academic Plan documentation
  • Maintain, and update as needed, Academic Affairs contact information.
  • Collect and coordinate information from academic divisions and work units to create reports for the academic meeting calendar, full and part-time faculty lists, and correspondence.
 
Academic Affairs Support:
  • Provides administrative support for departments under the purview of the Associate Vice President for Academic Affairs.
  • Assistance with processing of travel related documents.
  • Assistance with coordinating and hosting meetings, seminars, conferences, and professional development events.
  • Assist other Staff Executives as needed with Academic Affairs projects and events.
 
Other Duties as Assigned
 
Minimum Qualifications:
  • Associates Degree in related field; Plus,
  • Five (5) years of related work experience or an equivalent combination of education and/or work experience.
  • Perform in a professional manner.
  • Demonstrate good judgement and ability to handle confidential information appropriately.
  • Demonstrate exceptional customer service skills.
 
Preferred Qualifications:
  • Manage complex relationships with internal and external constituents.
  • Have the ability to prioritize work and scheduling needs according to guidelines from the AVPAA.
