Description

The Santa Clarita Community College District/College of the Canyons is seeking a full-time Director, Student Outreach and Welcome Center in the Student Services Division. The ideal candidate will share our colleges commitment to educating the more than 32,000 racially and socioeconomically diverse students we enroll each year. Currently, our student body is approximately 45.4% Latinx/Hispanic, 32.2% White, 6.3% Asian, 5.5% African-American, 4.5% Pacific Islander, 2% multi-ethnic, and less than 1% Native American. The college was designated a Hispanic Serving Institution in 2015, reflecting our focus on enhancing the educational attainment and economic well-being of the community we proudly serve. As one of 20 community colleges in the state selected for the California Guided Pathways Project, we are focused on enhancing equity and implementing policies and practices that help all students achieve successful academic outcomes.

Salary Placement:

This twelve (12) month per year position will be on an individual contract. This classified administrator position will be placed on Range 13 of the Administrator Salary Schedule. Step placement is based on experience. Initial salary step placement for new employees is customarily at step 1, 2, or 3 ($10,878.00 / $11,040.00 / $11,206.00 per month) of this 20-step salary range.
All administrators are on an employment contract and exempt from overtime and compensatory time accumulation.

District Classified Administrator Benefits:

OVERALL RESPONSIBILITY:
Under the direction of the Dean of Counseling, and working closely with relevant campus departments, the Director plans, conducts, and evaluates district communications, site visits, events, and other outreach and onboarding activities targeted at current and potential students. The Director provides leadership and direction to enhance the colleges outreach and recruitment plan including core components of outreach such as participation in special events and college fairs; providing pre-collegiate student success programs; implementing and evaluating recruitment marketing and promotion strategies; providing student onboarding assistance at service area high schools; coordinating new student orientation and advising; offering campus tours; and organizing special admissions and registration events. Serves as the central coordinator for outreach and participates in community events that provide recruitment opportunities.

Example of Duties

Essential Job Duties (Duties may include, but are not limited to, the following):


  • Provides leadership and supervision to permanent, part-time, and college assistant Outreach, Advising, and Welcome Center staff.
  • Develops and coordinates student recruitment and school relations efforts that are consistent with the mission and goals of the District.
  • Works closely with internal and external stakeholders to expand access to college for prospective students and ensure successful onboarding experience.
  • Develops, maintains, and ensures delivery of orientation materials to new incoming students.
  • Coordinates outreach efforts with the campus community.
  • Evaluates outreach efforts to determine the extent to which the desired target audience is receiving the desired information. Determines the impact of the effort related to enrollment management and/or other District goals.
  • Builds and maintains relationships with K-12 partners.
  • Ensures all staff are trained and updated on all outreach activities, programs for campus community, offerings of the college, and onboarding requirements for students. Host training meetings for permanent and part time staff to ensure all employees are updated with all information needed to be successful in their position.
  • Coordinate staff to be on high school campuses, external events, college fairs, outreach activities and on campus events.
  • Initiates an accountability structure that ensures campus outreach being performed by a variety of departments is coordinated, consistent in message, and directed to appropriate individuals or groups.
  • Oversees, plans, coordinates campus tours for all College of the Canyons site locations.
  • Provides administrative leadership on district programming directed to potential students, and coordinates with departments directing programming to community members, local business, and schools.
  • Coordinates with the District Communications, Marketing, and External Relations Office to ensure that campus publications, from academic and student services departments are consistent with the overall marketing and outreach strategies and standards.
  • Directs the development, maintenance, and distribution of promotional materials to include, but not limited to, websites and social media associated with assigned area of supervision.
  • Works with the district Institutional Research office, initiates and supervises research, focus groups, and forums to determine the effectiveness of campus relations. Gathers and records anecdotal information relative to recruitment and school relations.
  • Works with departments to determine community interest for new programs and with the Communications, Marketing, and External Relations Office to market programs once developed.
  • Participates in campus and local media production related to student recruitment and school relations. Ensures that accurate and consistent information is conveyed.
  • Researches related grant opportunities. Works with the campus grant writer to submit grants/proposals for additional funding. Performs grant-related duties upon award(s). Supervises and evaluates the permanent and part-time staff associated with grants and/or programs related to student recruitment and school relations. Ensures that the grant program goals are completed in a timely manner and that the reporting of such is completed in accordance with the federal and/or state guidelines.
  • Attends and conducts a variety of meetings as assigned by the Dean. Prepares and delivers presentations to the public and other groups. Represents the District with representatives from secondary education, outside organizations, and agencies including regulatory, local, state and federal governments.
  • Develops and maintains a variety of narrative and statistical reports, records, and files related to assigned activities. Monitors and expedites all necessary local, city, state, and other governing agency reports on a timely basis.
  • Creates, reviews, and updates Program Reviews and develops departmental Administrative Unit Outcomes (AUOs) on an annual basis that provide measurable goals to be achieved by staff in the interest of improving department efficiency and overall district effectiveness.
  • Develops and prepares the annual budget(s) for assigned areas.
  • Serves on the Districts matriculation committee and works with other departments, faculty, and staff to ensure an efficient and effective matriculation process for new incoming students; oversees the development new student orientation materials; ensures the effectiveness of Academic Advising for new incoming students.
  • Prepares an annual self-evaluation that includes evaluations of each full-time staff person, the achievements and goals of the department, as well as the facility and staffing needs of the department.
  • Promotes and implements programs and services that support inclusion, diversity, equity, accessibility, and anti-racism.
  • Establishes and implements policies and procedures in conformance with Board Policy and all applicable laws, codes and regulations. Recommends revisions as necessary to ensure compliance.
  • Performs other duties as assigned.

Qualifications and Minimum Requirements

MINIMUM QUALIFICATIONS:

Experience:
Five (5) years of full-time experience working in community colleges, universities, high schools, and/or community agencies. Training and/or experience in outreach, recruitment, journalism, marketing, speech, public relations, or related fields desirable.

Education:
Possession of a bachelors degree or higher from an accredited college or university is required.

License:
A valid California drivers license and the ability to maintain insurability under the districts vehicle insurance policy.

PHYSICAL CHARACTERISTICS:
Sedentary position requires use of a computer and related equipment for extended periods of time; frequently exerting 10 to 20 pounds of force to move objects; communicating and providing information to others; work outside on all parts of the campus and in varying weather conditions. In the event of an emergency, employees will be relied upon to serve as emergency service workers.
