Accounts Payable/Purchasing Specialist


Gogebic Community College is seeking candidates for a full-time Accounts Payable/Purchasing Specialist. This position will work independently with all departments within the college and is supervised by the Vice President of Business Services. This position is responsible for all Accounts Payable and Purchasing functions to support all departments in all locations. The pay grade for this position is Grade 4 with a starting wage of $18.19 per hour. Essential Duties and Responsibilities:
• Accounts payable functions including accurate and timely data entry for invoices and vouchers, request and/or process credit memos, monthly account reconciliation, research and resolve account discrepancies, process weekly check runs, prepare journal entries, and perform all vendor creations and maintenance.

• Process daily requisitions and purchase orders for the college, as well as negotiate purchasing agreements.

• Maintain paper and/or electronic records for Accounts Payable and Purchasing functions and assist with preparation for annual audits.
• Document administration duties may include preparing checks and direct deposit stubs for payroll distribution and maintaining legal files such as W9, W8, and 1099 forms.

• Prepare, print, and mail AP checks on a weekly basis.

• Collect and distribute mail for the Business Office, as well as provide backup in the mailroom when necessary.

• Initiate and respond to telephone, e-mail, fax, mail, and in-person communication with vendors, external customers, and employees for Accounts Payable, Purchasing, and Mailroom functions.

• Prepare and present an Accounts Payable and Purchasing presentation to train new employees on policies, procedures, and forms.

• Order and maintain college cell phones, credit cards, and respective accounts. This includes requesting equipment information, ordering, set-up, activation, upgrades, collection, suspension and reactivation, cancellation, recycling/disposal, record maintenance, account reconciliation, troubleshooting, monitoring usage, and changing plans or limits.

• Other duties as assigned.

 

Knowledge of/Ability to:
• Ability to communicate in an effective, precise, and understandable manner with students, staff/faculty, and outside vendors.
• Proficient in Microsoft Office Suites, Outlook, and Adobe Acrobat DC.
• Must be detailed oriented, organized, and able to handle multiple tasks at one time.

 

Minimum Qualifications:
• Associate Degree in a Business related field required.
• Minimum of 2-3 years of experience working in Accounts Payable and Purchasing preferred.
