Position Overview

This position is classified as an Administrative Assistant 3 (105G) per the Office of Financial Management criteria, and holds the working title of Student Learning ctcLink Fiscal Liaison.

Under the general direction of the Director for Student Learning or the Administrative Services Manager, the Student Learning ctcLink Fiscal Liaison is part of the Student Learning front office support team and provides on-campus support related to ctcLink Campus Solutions and Finance Pillar data, workflows, and processes.

As part of the front office Student Learning Support Team, this position will also assist students, faculty, and visitors to the Student Learning Office, help to coordinate calendars, make travel arrangements, maintains office supply inventory and orders materials, and assists with budget tracking and reporting, contracts, grant proposals, surveys, and general the day-to-day operations of the area. This position will also support and handle confidential information regarding student inquiries, grade appeals, complaints and petitions.

As the Student Learning ctcLink Fiscal Liaison, it is expected that the following qualities will be demonstrated daily: a high degree of understanding and empathy for all students, faculty, staff, and visitors, as well as the ability to encourage the inclusion of all voices in decision-making, promoting equity in all areas, and actively working against institutionalized norms of oppression against historically marginalized people.

Initial Salary: $3,376.00 - $3,796.00 Monthly DOE + 5% King County Premium Pay (KCPP)

Supervising Position: Director of Student Learning: Curriculum, Scheduling, ctclink Operations
Essential Duties

Administrative Office Support:

  • Welcomes staff, faculty, students, and other visitors to the Student Learning office, triages support needs, and provides customer service-related tasks
  • Attends, takes notes, and maintains records for various Student Learning academic committees, prof-tech advisory, and division meetings.
  • Maintains confidentiality in creating and maintaining records and files; records statistical information; uses spreadsheet and database software to develop and maintain records
  • Supports the Deans in responses, and handles confidential information regarding student inquiries, grade appeals, complaints, and petitions; assists in completing the appropriate processes in accordance with college policies
  • Assists with coordinating human resources activities such as recruitment, hiring committees, selection, appointment, compliance, and submittal of HR and payroll forms
  • Assists with the Deans' calendars, schedules meetings, and is the main point of communication between the deans and internal and external clients
  • Assists with budget reports and purchasing records, monitors supply and equipment budgets and purchases and orders, receives and maintains inventories, and coordinates communications and information with Deans and/or the Finance office as instructed
  • Creates a wide variety of correspondence and performs updates and edits on various types of college documents for accuracy, appearance, readability and style
  • Uses ctcLink (PeopleSoft) to run prepared reports and inquiries
  • Works collaboratively as a member of the Student Learning Operations and Support Team and serves as back up to other administrative staff
  • Demonstrates a commitment to and interest in diversity, equity, and inclusion and supports and encourages a multicultural workplace and educational environment
  • Respond to campus partners and vendors inquiries
  • Supports the College's Vision, Mission, and Values
  • Other duties as assigned


Key Functions:

  • Trouble-shoot and follow-up on ctcLink-related process transactions between Student Learning, Finance, and Enrollment Services
  • Respond to questions and provide status updates related to budgets, purchases, grants and contracts, and Faculty Workload-related situations
  • Provide administrative support for the College in the High School and Job Skills Programs
  • Contribute to centralization and standardization of Student Learning internal processes related to finance, budget, grants and contracts, and travel authorizations
  • Review and follow procedures to submit purchase requisitions to Finance on behalf of Student Learning
  • Review and communicate status of Student Learning budgetary data information
  • Provide backup support as needed for class scheduling data entry including but not limited to textbook information, required digital materials, low-cost or no-cost data entry, and course and class lab/supply fees
  • Run Campus Solutions and Finance queries on a regular basis to ensure course and class fees are correctly posted and communicated as needed
  • Run and generate accurate quarterly enrollment reports


Eduation and Experience

Minimum Qualifications:

  • An Associate's Degree AND two years of experience working in an office setting that includes general administrative support and customer service, reception, calendaring, OR equivalent combination of education and experience
  • Proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, or similar productivity software
  • Demonstrated strong interpersonal and communication skills, both verbal and written
  • Demonstrated strong organizational skills and ability to handle multiple tasks simultaneously and determine priorities
  • Demonstrated commitment to and interest in diversity, equity and inclusion and the ability to support a multicultural workplace and educational environment


Preferred Qualification(s):

  • Experience in working in a community college or other higher education setting
  • Experience with academic organizational software applications such as PeopleSoft
  • Ability to successfully communicate (written and orally) in a language in addition to English


Terms of Employment

This is a full-time, permanent Classified position that works 40 hours per week, Monday - Friday; may include occasional evening responsibilities. The position is allocated to pay Range 40 under the Higher Education Salary Schedule. This position is classified as an Administrative Assistant 3 (105G) per the Office of Financial Management criteria, and holds the working title of Student Learning ctcLink Fiscal Liaison. Initial salary placement is between the ranges of $3,376.00 - $ 3,796.00 per month depending on experience, with yearly step increases to the maximum salary of $ 4,497.00 (Step M) per month (not including the 5% King County Premium Pay). This is a represented position.

Cascadia College employees receive a 5% King County Premium Pay in addition to base salary for the 2023-2024 Fiscal Year.

This position has been designated as a bargaining unit position by the Washington Public Employees Association.

Physical Work Environment

Semi-Sedentary Work: Involves staying in a stationary position to a significant degree. Jobs are sedentary if moving is required only occasionally and all other sedentary criteria are met.

The College is currently in hybrid operations, with many assignments completed in an online environment during this time. This position is expected to be on-campus at least four (4) days per week with the possibility of occasional remote work as needed with supervisor approval. Employees will need to provide their own remote workspace and internet access, noting the College will provide technical equipment and support for online work needs. During on-campus operations, this position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus and requires the ability to communicate in person or through appropriate means.

Positions in this class typically require operating a computer, communicating, observing, and repetitive motions.

This position involves exerting between 10-30 pounds of force occasionally and/or a negligible amount of force frequently to transport, put, install, remove, or otherwise move objects, with or without reasonable accommodation.
