We are seeking an Administrative Assistant who will support the Workforce Development and Community Education Department.

POSITION SUMMARY

Provide administrative support to the department and other individuals as needed. Manage the office's day-to-day activities using discretion and exercising sound judgment. Perform assigned responsibilities according to established policies and procedures with minimal supervision.

 

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Ability to plan, prioritize, organize, and accomplish assigned duties. Demonstrate professionalism and provide quality customer service in accordance with the College's values; maintain positive working relationships and make decisions and solve problems.

Excellent communication and interpersonal skills are required. Maintain confidentiality, positive communication, accurate records, and an organized, safe working environment. Exhibit flexibility, willingness to learn, ability to change, and maintain current technology skills.

Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with individuals from diverse backgrounds.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Respond to inquiries from students, employees, business partners, and customers. Prepare correspondence, contracts, agendas, formal reports, and other document within established deadlines. Edit and proofread documents to ensure accuracy. Serve as the recorder and minute taker. Maintain departmental web pages, social media, and databases.

Greet visitors, answer and route phone calls to serve the needs of students, faculty, staff and business partners; maintain and organize documents, files, records, and databases; manage record retention schedule: maintain office supplies and equipment, including inventory, distribution, and requisitions.

Maintain confidentiality, positive communication, accurate records, and an organized, safe working environment. Exhibit flexibility, willingness to learn, ability to change, and maintain current technology skills. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with individuals from diverse backgrounds.

Maintains competency of current college policies and procedures and can answer general questions about them. Helps to ensure the department's overall success by performing all other duties as assigned.

 

MINIMUM KNOWLEDGE AND EXPERIENCE

Associates degree and two years of office experience, OR High School diploma or the equivalent with a minimum of four years of related experience.

 

PHYSICAL ABILITIES

Normal physical job functions are performed within a standard office environment. Reasonable accommodations for individuals with physical challenges to perform the essential duties and responsibilities may be made. Position may require occasional lifting or moving up to 25 lbs.

REPORTING RELATIONSHIP

Reports to Vice President but may vary based on organizational need.
