Montgomery College, Rockville Campus, has an immediate need for a full-time Community Use Scheduler in the Facilities Operations Department. The work schedule is Monday – Friday, 8:30 am – 5:00 pm. This is a Bargaining, non-exempt, grade 15 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. Under supervision and/or direction, assign all space on one of the three campuses outside of credit and non-credit classes scheduled by admissions and rents space to community groups.

Regular contacts are with college staff from various levels and community organization representatives primarily for space rentals and various set-ups such as furniture.

Duties include but are not limited to:

  • Responsible for scheduling space for administrators, faculty, staff, student groups, and community groups.
  • Receive space requests via e-mail, telephone, or inter-campus mail.
  • Contact the appropriate individual(s) for approval when reserving all rooms to include computer classrooms for college use outside of regularly scheduled classes; recommend space after consulting with these groups on appropriate spaces, costs, and the College Policies & Procedures.
  • Invoice users for all related expenses and forward payments to the cashiers office.
  • Confirm all reserved spaces to requestor.
  • Distribute and ensure the accuracy of returned space reservation forms, process the forms, and distribute copies to building and grounds, and security.
  • Communicate and track facility space reservations.
  • Create work orders in work order system for all set-up requests, signage, and banners.
  • Help requestors determine the best set-up for their needs and coordinate with media resources, if needed.
  • Track all invoices and payments. Enter all College and community space requests into database, including wellness hours, open swim hours, open labs, online blended classes, supplemental instruction, planetarium events, summer camp usage, etc.
  • Inform lab staff of all reservations via email and communicate daily reminders about set-ups to the building and grounds crew via radio and/or email.
  • Distribute weekly event report detailing all scheduled room use and compile annual report on college/community room usage, including figures showing the changes in usage based on the previous year's report.
  • Perform general administrative support work.
  • Deliver outgoing departmental mail to the mailroom and pick up and distribute incoming mail.
  • Answer incoming telephone calls, including covering the phones for co-workers and the facilities director, when needed.
  • Update and edit the facilities website, when needed.
  • Performs other duties as assigned.

Required Qualifications:

  • High School diploma or G.E.D.
  • Two years of experience with computer software applications, office operations, report writing, telephone etiquette.
  • The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
  • Thorough knowledge of modern office practices and procedures including room scheduling software.
  • Ability to schedule the use of and arrange user services for facilities; perform arithmetic calculations quickly and accurately; maintain records and prepare reports; and multi-task while being attentive to details.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship

Preferred Qualifications:

  • Associates degree in a related field.
  • Experience working in higher education.

Hiring Range: $18.55 to $23.19 per hour.  Initial salary placement is based on candidate experience and internal equity.  Pease include a complete resume with all relative and related work experience.
