The Assistant Director position will be responsible for the day-to-day supervision of the Student Accounts staff and monitoring workflow that will consistently ensure the needs of the students. This position will be responsible for maintenance and implementation of Colleague software systems and coordination of all cash receipts and accounts receivable for the college. The Assistant Director serves as a primary contact for students, parents, support members, faculty, staff and other involved parties concerning all related activities regarding Student Accounts. This position provides the highest level of customer service via in person, phone and electronic communications regarding financial status with the College.

MAJOR RESPONSIBILITIES

Assists the Director with all departmental activities including scheduling, assignment of duties and performance evaluations for staff.
Responsible for working with students and parents to resolve student account issues such as payment arrangements, disputed charges, refund requests, past due balances. This is done in-person, on the phone and electronically as required.
Provide support, advising, and counseling to students and student support members about billing, payment plans, and any other student account-related matters.
Provide management and oversight regarding the administration of payment plans and issues/problems with the collection of student debt; prepares periodic reports, and records activities as necessary and requested.
Provide support in the development and administration of departmental policies and procedures regarding compliance in the collection of student debt.
Assist in planning, implementation and monitoring of activities/projects relating to Student Accounts.
Serve as the liaison on tuition, fee and housing charges appeal processing and performs any necessary account adjustments based on appeal decisions.
Responsible for the administration of payment plans including establishing terms, managing any necessary data integration and ensuring timeliness and accuracy of payment plan data.
Responsible for the oversight of processing of student Certificates of Residence including updating the student records, processing the billings to counties for chargeback reimbursements and reconciliation of payments to chargeback billings.
Assist in training of staff on Colleague screens and procedures to ensure students receive the best customer service from the Student Accounts staff; due to constant system updates this is an on-going process.
Responsible for production of billing notices for multiple populations within the billing guidelines for each population as scheduled each month.
Responsible for the billing and reconciliation of the Aid Like a Paycheck advance program and student emergency advances.
Recommend policies and procedures for the efficient administration of the student account receivables including collection efforts, billing processes, cash receipts, payment plan and registration holds.
Assist with the annual financial audit as necessary.
Performs other related duties as assigned.

Job Requirements:
MINIMUM QUALIFICATIONS

A baccalaureate degree from a regionally accredited college or university or foreign equivalency.

At least six years of professional experience working in an administrative role. At least two of these years must be in a position that required financial transactions and reconciliations.

At least two years of supervisory experience which may have occurred as part of the minimum of six years of experience.

Experience in a customer service environment.
Ability to effectively communicate orally and in writing.

PREFERRED QUALIFICATIONS

Strong technology experience in an automated student system environment that emphasizes end user reporting tools is preferred.
Master's degree from an accredited college or university or foreign equivalency.
Experience working in a higher education environment.
Bilingual in English and another language preferred.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge of conflict resolution techniques and the ability to manage stressful situations.
Strong knowledge and understanding of organizational practices.
Solid knowledge of supervisory practices and principles.
Understanding of accounting principles.
Ability to work independently, effectively and efficiently.
Strong verbal and written communication skills.
Demonstrated skill and ability with technology, including software applications.

Salary range is $58,564-73,205 depending on relevant experience.
