Temporary Assistant for Green River Center (June-September)

Job Description

Under the direction of supervision performs a variety of administrative tasks and responsibilities for the Outreach and Workforce Development department located on the Green River Center campus. 
It is expected that this individual will accomplish assigned duties in an efficient, effective, competent manner and strive for improvement and excellence in all work performed. Additionally, this individual must understand the comprehensive role of the community college and cooperate and work harmoniously with college personnel and the public. This individual will follow all college policies, rules, regulations and guidelines as they relate to this position.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Maintain a positive, empathetic, and professional attitude toward students and community members at all times. Respond promptly to inquiries and concerns via phone, email, or in person, providing accurate and timely information.
  • Performs administrative assistant duties for the Department of Outreach and Workforce development. Prioritizes work to satisfy the needs of the College, the office, and the students.
  • Assists the supervisor with projects and prepares appropriate documents and reports.
  • Assists in preparing, maintaining and safeguarding designated records as required for use in various reports; prepares part-time employee reporting forms; prepares class rosters and enrollment reports.
  • Maintains current knowledge of student intake process policies and procedures, and articulates information in a manner that is clearly understood by students, parents, and the general public for both credit and non-credit courses. Abiding by FERPA guidelines.
  • Provides forms and information concerning classes for currently enrolled and prospective students; registers walk-in and phone-in students and processes mail-in and on-line registrations.
  • Collects tuition, fees, and other payments, and provides receipts as needed; processes payments requiring use of a credit card, using appropriate credit card terminal equipment and procedures.
Utilize problem-solving skills to resolve issues or escalate them appropriately to ensure a high level of customer satisfaction.
  • Integrates office procedures with appropriate Rock Springs campus procedures as requested by Supervisor.
· Assists in the preparation of promotional flyers and information regarding Westerns non-credit program, Enrich Wyoming as well as events at the Green River Center campus.
· Provide backup assistance to various positions as needed.

  • Assures that confidentiality is safeguarded in the handling of records of the office while cooperating with the respective members of the college community and with the general public.
  • Proficient with the requisition and budgeting system of the college as it applies to the position and processing of related paperwork in accordance with approved procedures.

  • Maintains safe working conditions and practices at all times.
  • Performs other duties as required.
MINIMUM QUALIFICATIONS:
The requirements listed below are representative the knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
Knowledge of:
General office practices and procedures
Comprehensive role of the community college
College personnel policies, rules, regulations and guidelines
Telephone techniques, practices and procedures
PCs and related software, e.g. student information system 
Microsoft Office Products
FERPA
Ability to:
Communicate effectively verbally and in writing
Work independently and as part of a team
Operate a PC and related software
Provide excellent customer service
Maintain effective working relationships with other people
Maintain professional, efficient, and congenial image when dealing with students and the public
Maintain confidence with student disciplinary and other sensitive information
Work in a multi-tasking environment with constant interruptions
EDUCATION AND/OR EXPERIENCE:
Any combination of education and experience that demonstrates possession of the requisite knowledge, skill and abilities. A typical way to obtain these would be:
· High school diploma, general education degree, or equivalent
· One (1) year of administrative experience OR
· One (1) year public relations work experience and public communications; OR
· One (1) year customer service work experience

While performing the duties of this position, the employee is regularly required to sit. The employee frequently is required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, and ability to adjust focus.

WORK ENVIRONMENT:

While performing the duties of this position, the employee regularly works in indoor conditions and regularly works near video display. The noise level in the work environment is usually moderate.
