*Guest Services Specialist - Leo J. Welder Center for the Performing Arts

Job Description

Position Summary

The Cultural Affairs Department is recruiting for a part-time Guest Services Specialist position to work at the Leo J. Welder Center for the Performing Arts.  This position is responsible for performing a broad range of duties related to general event operations, house management for events, guest services, client and guest communications. This position works a flexible schedule on an as-needed basis, including some evening and weekend work, not to exceed 19 hours per week.

Duties & Responsibilities

  1. Provides effective and efficient services to guests in a courteous and professional manner according to venues established guidelines, processes and procedures;
  2. Communicates and coordinates with clients, venue managers, coordinators, planners and other specialists to perform house management duties for events, including crowd control, supervision of paid and unpaid event support staff such as concessionaires, box office workers, and ushers;
  3. Monitor events and communicate with managers and coordinators to ensure client compliance, facilitate operations, respond to needs, and proactively handle event service issues;
  4. Assists with box office event set-up, sales, exchanges, returns, closeouts, deposits, reconciliations and other related ticketing functions during event box office hours;
  5. Completes pre- and post-event duties such as house manager reports, attendance reports, concessions opening/closeouts/deposits, and event set-up and tear-down;
  6. Responsible bar manager as needed in the absence of venue managers and coordinators;
  7. Completes duties according to established policies and procedures; provides feedback and makes recommendations to supervisor for changes and additions as needed;
  8. Maintains orderliness of public areas, brochure racks and poster displays;
  9. Assists with event setup, including moving chairs, tables, and equipment;
  10. Handles cash and cash equivalents securely and accurately;
  11. Work collaboratively, communicate and foster relationships with Welder Center clients, patrons, vendors, paid and unpaid staff;
  12. Operates technology to utilize various software applications, such as spreadsheets, box office, event management software, and ticketing software to enter, create, assemble, manipulate and/or format data and/or reports;
  13. Part-time position with hours that may vary day/night;
  14. Participates in safeguarding the assets of Welder Center for Victoria College;
  15. Performs related work at Victoria College and Cultural Affairs activities as assigned.

Qualifications

  1. High school diploma required and two years of customer service work experience;
  2. Associates degree preferred;
  3. Two years minimum work-related experience including excellent customer skills;
  4. Must be over the age of 21;
  5. Willingness to work a flexible work schedule based on event schedule;
  6. Effective written and oral communication skills; interpersonal skills; ability to exercise tact and discretion;
  7. Must be able to obtain appropriate certifications, which may include TABC seller-server, food handler, crowd management, CPR and AED;
  8. Must be able to work without close supervision;
  9. Must be able to read and understand safety information, policies and procedures;
  10. Must be able to follow written and oral instructions;
  11. Must be willing to assist Welder Center users and Victoria College personnel as appropriate;
  12. Must have a valid Texas Drivers License.

Physical Demands

Work is generally performed in interior operational settings with frequent interruptions and irregularities in the work schedule.  Frequent walking, standing, climbing, lifting, stooping, or carrying of equipment and materials may be required.  Incumbents may be required to lift and carry up to 50 pounds.  Incumbent may be exposed to extreme temperatures, close quarter situations, high and precarious places, moving mechanical parts, and vibrations. Will be required to push and pull as part of event set up.  Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
