Position Summary

The division of Advancement & VC Foundation at Victoria college is hiring for a Full-time Advancement Operations Specialist position which is responsible for providing an opportunity to experience various aspects of advancement operations and grants administration. We are seeking  highly qualified candidates who will exhibit a strong attention to detail with the ability to organize, prioritize, and follow multiple projects and tasks through to completion. This position will play a vital role in supporting various aspects of Advancement Operations.

Duties & Responsibilities

Duties include, but are not limited to the following:

  1. Provide general administrative support to the Executive Director of College Advancement, the VC Foundation (VCF), and the Advancement Team.
  2. Support advancement efforts by scheduling meetings and events with departments, administrators, funders, donors, community partners, and/or other stakeholders.
  3. Communicate courteously and professionally with key stakeholders including board members, donors, charitable agencies, grant and scholarship committees, local board leadership, elected officials and the public via email, phone, written and face-to-face.
  4. Support in the collection and organization of data for various projects and documentation of visits, proposals, and follow-ups.  
  5. Create, modify and proofread documents and presentations using Microsoft Word, Excel, and PowerPoint. 
  6. Assist with organization and execution of annual events and campaigns.
  7. Provide backup support for gift entry and gift acknowledgment letters, as needed.
  8. Assist with information gathering or updates to departmental documents and web page as needed.
  9. Generate purchase orders and monitor activity.
  10. Maintain and update donor database functionalities, including custom fields, workflows, and reporting parameters. 
  11. Participate in relevant professional development opportunities.
  12. Maintain a high level of professionalism, collaboration, and confidentiality within the department and with other departments and partners.
  13. Other relevant duties as assigned.

Qualifications

  • Minimum of an Associates Degree required or five years related work experience in lieu of a degree with high school diploma or GED;
  • Three years work experience required;
  • Must be proficient in Microsoft Office applications including MS Word, Excel, Outlook, PowerPoint, and Explorer;
  • Strong office management, organizational, interpersonal, and communications skills required;
  • Ability to effectively handle multiple tasks simultaneously while working in a fast-paced environment required;
  • Working knowledge of Banner ERP system preferred; and
  • Prior experience in a grants, fundraising, non-profit, or higher education environment preferred.

Physical Demands

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle controls, key pads, etc. Will be required to sit and reach with hands and arms as well as, sit, stand and walk. The employee must frequently lift and/or move up to 15 pounds while loading office supplies and paper. Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
