Basic Function

Under the direction of an administrator or manager, develops, edits, and maintains the master course schedule for classes; plans, prioritizes, and secures classrooms, as assigned; performs a variety of specialized administrative responsibilities including but not limited to updates and maintains instructor load sheets, coordinates class schedules, prepares and orders printing of class schedules and/or brochures, prepared the online class schedule in the District-Designated software.

Representative Duties

1. Enters, reviews, and verifies course schedule codes; ensures course calculations and scheduling patterns are accurate and complete in the appropriate District-designated software products. E
2. Reviews, edits, and audits class and student data; identifies and resolves coding or class schedule errors to ensure maximum Full Time Equivalency (FTE) and identifies data entry or calculation errors, and makes corrections, as needed District-designated software products. E
3. Records, reviews, and collects original submitted instructor load sheets and distributes copies to Human Resources; reviews entries and calculations to ensure the accuracy of instructional loads per the faculty contract terms; identifies and resolves data entry errors and discrepancies, verifies appropriate coding is referenced; ensures all load sheets are collected and processed for payroll in a timely manner District-designated software products. 4. Updates and maintains class schedule and course catalog; makes changes, corrections, deletions, and additions based on needs of the District or instructional unit; reviews changes and updates with the Catalog Committee and/or Division Deans in preparation of the schedule for posting on the Web and public distribution. E
5. Establishes and maintains new master course record numbers, master course record file data base, and verifies class size limitations. E
6. Prepares and generates standard and ad-hoc reports including but not limited to faculty
load, class schedules, student transcript, and registration, as directed. E
7. Reviews various reports including but not limited to positive attendance, census, and daily
attendance; audits and edits reports to ensure accuracy that may affect the student
registration process. E
8. Reviews Management Information Systems (MIS) report each semester; identifies reasons why
class sections have been rejected by the Chancellors MIS Office; makes corrections as
needed District-designated software products. E
9. Generates and reviews Directed Study assignments in the appropriate software/forms;
verifies repeatability of the course and instructor load calculations; communicates pay
confirmation to HR, Division Deans, instructors after grades are completed and submitted
per semester. E
10. Performs various administrative activities in support of Instructional Operations; updates
and maintains communications, memoranda, forms, and documents related to the area of
assignment. E
11. Prepares and generates standard reports; audits and verifies entered data; makes
corrections as needed. E
12. Receives, reviews, and processes requests for external consultant or contracted services
forms for fee-based seminars, workshops, and classes. E
13. Performs a variety of clerical and administrative duties in support of the departments dayto-
day activities and/or operations including but not limited to greets and directs visitors,
answers phone calls, responds to callers, and directs incoming phone calls; opens, screens,
and distributes mail and correspondence; photocopies documents and requests
duplication services; ensures maintenance and repairs of assigned work areas, facilities, or
equipment; enters various requests for services from IT, Facilities, and Maintenance;
contacts vendors for equipment service, when needed; follows-up with vendors to ensure
satisfactory completion or requests; may perform simple repairs or maintenance standard
office equipment. E
14. Performs related duties that support the overall objective of the position.

Education and Experience

• Associate degree with coursework related to the area of assignment; AND
• Three (3) years of increasingly responsible experience involving the development of class schedules and associated responsibilities related to the area of assignment.
• Or, any combination of education and experience which would provide the required qualifications for the position.

Equivalencies

• Possession of, or ability to obtain, a valid driver license.
• May be required to travel for various off-site meetings, trainings, conferences, and or events in support of the overall objective of the position.

Foreign Degrees

Any degree from a country other than the United States, including Canada and Great Britain, must be evaluated by an Evaluation Service prior to the closing date. Certification must be attached with copies of transcripts.

Desired Qualifications

Five (5) years of experience in developing class schedules.

Distinguishable Characteristics

The Scheduling Technician serves as the liaison and primary point of contact to coordinate, develop, and publish the Districts master schedule of classes; The Scheduling Technician performs the essential duties and responsibilities of the classification employing independent judgement with the Districts established policies and procedures; the incumbent has a thorough understanding of the Districts computer systems and databases and has developed strong and collaborative working relationships with administrators, support staff, Human Resources, Instruction, and various departments throughout the District and college community. The incumbent assists with the development of class schedules, course catalog information and details, classroom assignments, and instructor information.
The Scheduling Technician is distinguished from the Scheduling Technician – Continuing Education in that the latter classification performs the assigned responsibilities specific to Continuing and Contract Education Division of the District/college.

Physical Demands:
While performing the duties of this job, employees are regularly required to sit or stand for extended periods of time; talk or hear, in person and by telephone; use hands repetitively to finger, handle, feel, operate personal computers and other standard office equipment; and reach with hands and arms.

Specific vision abilities required by this job include close vision, ability to distinguish basic shades and colors and the ability to adjust focus.

Employees are frequently required to walk and stand and occasionally lift up to 20 pounds.

Mental Demands:
While performing the duties of this class, incumbents are regularly required to use written and oral communication skills; read and interpret data; use math and mathematical reasoning; analyze and solve problems; learn and apply new information and skills; perform highly detailed work on multiple, concurrent tasks; and interact with District, students, vendors and others encountered in the course of work, some of whom are dissatisfied or abusive.
