 Position Summary:

 The Specialist IV, Transcript Evaluation & Records will be responsible for processing and maintaining the accuracy of student information in the areas regarding graduation, transcripts, VOE, PLA's, and student change forms. Under limited supervision, He or She will provide a wide array of functions within Admissions and Enrollment, such as state reporting, enrollment issues, and the maintenance of student records documents and files. The Specialist IV – Transcript Evaluation & Records will also be responsible for a wide range of functions in the Records & Enrollment Services area including degree audit, graduation, inbound and outbound transcripts, transcript evaluation, enrollment verification, and data integrity.

 Job Functions:


  1. Run a variety of reports/queries requested by internal contacts for use in the tracking of data (Ex. Graduation.) Respond and complete requests from the Student Records email box such as processing and printing transcripts to the campus or the students, honors, core curriculum completion, etc.

  2. Assist and solve issues relating to new applicants, returning applicants, holds on accounts, registration, dropping classes, or any other issues that may arise. Provide assistance to students with the application process by providing them with information on testing, writing assessments, and ESOL courses. Work closely with Academic Advisors

  3. Process students’ applications accurately ensuring federal, state, and college policies are followed. Evaluate the required documents including transcripts, standardized tests, and other academic tests to determine eligibility for admission

  4. Assist with hiring/supervising/training part time staff and proctors. Act as a point of contact with local high schools

  5. Provide Lone Star College with information, handle complaints, and answer complex questions via phone, e-mail, and online self-service generated tickets

  6. Recommend work procedures and processes that support LSC and the departmental standards, procedures, and strategic directives center

  7. Interact with faculty and staff across the system for certain events, technical support, and subject matter expertise. Assist with event planning and coordinating resources and schedules

  8. Provide customer service to student services staff by providing assistance in daily questions and concerns regarding graduation, transcripts and record information

  9. Process and research various records such as student change forms (name and social security updates), VOE's, and PLA's

  10. Maintain Student Records, including the tracking and evaluation of student outcomes and academic performance, and email box, responding to a wide variety of requests. Resolve bounce back emails as needed. Respond to correspondence, emails and phone calls for department which requires in-depth research for problem resolution

  11. Receive, process, scan and index transcripts and other student record documents into OnBase and enter data into iStar. Receive and evaluate students’ transcripts, as well as process students for graduation completion. Process and audit campus graduation applications for accuracy prior to printing and mailing diplomas including reverse transfers

  12. Serve as the Backup for building and maintaining external transfer catalogs to ensure transcript evaluation efficiencies and accuracy

  13. Track and record daily statistical information regarding transcripts, transcript evaluation, and diplomas


Knowledge, Skills, & Abilities:


  • Strong attention to detail

  • Proficiency with common office software (i.e. Microsoft Office Suite)

Physical Abilities: 

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

Work Schedule & Conditions:


  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment

  • Interface with internal and external contacts as needed to carry out the functions of the position

  • Work is performed in a climate-controlled office with minimal exposure to safety hazards
