Job Description:

Reporting to the Registrar and a member of the Academic Records leadership team, the Associate Registrar - Services will work collaboratively with the Associate Registrar - Operations and other key stakeholders to ensure delivery of existing services meets the needs of students, faculty, staff, and administration. The Associate Registrar - Services will provide functional expertise for Image Now, 25Live, Transferology, and other third party systems that support customer service. Incumbent will assist with the development, maintenance and assessment of student services for a diverse population; evaluate and reimagine the effectiveness of services; and recommend workflow and process changes. The Associate Registrar - Services is responsible for office management and the oversight of the clerical staff, including hiring, training, evaluation, coaching, and professional development. This position is also expected to, as the need arises, step in and assist with the Operations functions of the Academic Records office

Responsibilities include:

  • Provide complex support for the Registrar

  • Provide a high quality of customer service and senior project leadership on special projects and processes

  • Supervise the clerical staff and manage daily operations (registration, transcripts, room event scheduling, etc)

  • Set priorities of staff workload and manage work as competing processes, tasks, and projects arise

  • Identifies and communicates relevant and important information, issues, updates, and changes within to the staff, Registrar, and Associate Dean Enrollment as appropriate

  • Assists in the interpretation of academic regulations and ensures proper policies and procedures are understood and followed by staff

  • Collaborate with the Associate Registrar-Operations and Business Analyst to maintain and develop operational and official reports and queries for internal use as well as the academic units and other offices of the college

  • Provide for ad hoc statistical reports on student data for top campus administrators, faculty, and professional staff

  • Responsible for working with the National Student Clearinghouse submissions and testing/implementation of new updates

  • Responsible for working with Special Coordinators and clerks to manage the daily event scheduling in 25Live

  • Responsible for coordinating ongoing FERPA training for clerks and other stakeholders at the College

  • Responsible for managing grading processes and correspondence (mid-course, final, etc.)

  • Schedules the submission of critical computer programs that update, maintain, and report student data contained in the student information system for end-of-term grades, mid-term grades, maintenance of academic history database, and students' major changes

  • Serves as Academic Records primary resource for Student Central and responds to inquiries and concerns from staff, faculty, students, alumni, parents, and others related to enrollment, academic record keeping, grade processing, transcripts, and other assigned areas

  • Collaborates with Associate Registrar - Operations to oversee the Academic Records communication plan, including messages to students, faculty, and staff

  • Perform Associate Registrar - Operations tasks as needed and during peak times

  • Other duties as assigned


  • Bachelor's degree and three years relevant work experience in Registrar related area or work

  • Demonstrated experience in management and supervision of staff

  • Experience in using integrated student data systems; preferably Datatel Colleague

  • Excellent writing, analytical, and interpersonal skills

  • Experiences with room scheduling software preferred

  • Experience using reporting tools such as Informer, Zogotech, Microsoft Access or Excel

  • Familiarity with business reporting processes/applications

  • Proven ability to interpret academic and administrative policies and to collaborate with academic department and cross-functional teams

  • Proven ability to recognize, recommend and implement new technologies or processes

  • Proven ability to work with a diverse faculty, staff and student population

  • Experience in delivering end user training on student information systems preferred

Additional Information:

Salary Range: $65,000.00 - $75,000.00
