Merced College is a midsized community college located in California's Central Valley. Founded in 1962, the college serves more than 16,000 students with room to expand on its 267 acre main campus and 120 acre Los Banos site. The Executive Assistant to the Superintendent/President balances multiple responsibilities and provides administrative support to Office of the President.  The Executive Assistant works directly with cabinet-level and senior administrators of the District on high-level tasks.  This position requires a personable, dedicated, highly-organized individual with an interest in understanding how the organization works and in ensuring strategic priorities of the District are being met.  The Executive Assistant will work with a dynamic team of professionals--both internally and externally.  The position supports all functions of the Office of the President and requires a strong leader, confidential team member, and independent executive.

General Description:

Perform a wide variety of highly complex, confidential and responsible duties in relieving the Superintendent/President of administrative detail.


EXAMPLES OF DUTIES:

Essential Functions:



  • Serve as the executive assistant to the Superintendent/President and perform a wide range of administrative, clerical, and high level duties as assigned


  • Arrange appointments and meetings for the Superintendent/President and screen visitors, telephone calls, daily mail, and make conference and travel arrangements


  • Work closely with other senior level administrators to coordinate projects, communicate information, and assist the President with coordinating between units of the College


  • Provide oversight and coordination for events and programs under the Office of the President


  • Ensure high quality and standards are met under the Office of the President


  • Dispense information or answer questions where judgment, knowledge, or interpretation of policies and procedures are necessary


  • Exercise discretion in handling public contacts


  • Process administrative details not requiring the immediate attention of the Superintendent


  • Prepare information needed in administrative decisions and in facilitating implementation of policies and programs


  • Collect and compile information pertaining to activities of the President's office


  • Transmit communiqués and decisions of the Superintendent/President to the various organizational units and senior administrators


  • Interpret, communicate, and apply District rules, procedures, and policies


  • Assist with monitoring Office of the President budgets and process financial reports for review


  • Assist with the preparation, assembly, and distribution of agendas for meetings of the Board of Trustees


  • Attend meetings of the Board and assist with the development of detailed and inclusive minutes and follow-up Board actions with necessary correspondence and notice


  • In consultation with the Superintendent/President, works closely with the Board of Trustees in gathering and disseminating information and arranging appointments and meetings for the Board


  • Assist with maintaining official Board records, including file of District Board Policies, as needed


  • Under the direction of the Superintendent/President, serves as to the assistant to the Board of Directors of the Merced College President's Circle


  • Prepare and distribute agendas, attend meetings and develop minutes, maintain the financial records, file and membership records of the President's Circle


  • Receive and transcribe confidential information


  • Prepare correspondence and memoranda independently or from oral instructions

Minimum Qualifications:

Required



  • Graduation from high school or the equivalent


  • Four years of increasingly responsible secretarial experience or the equivalent


  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students
