Position

 

Are you interested in serving your community through higher education? Renton Technical College (RTC) seeks an Enrollment Services Specialist. This position is an opportunity as part of the Enrollment Services Team and will report directly to the Director of Enrollment Services/ Registrar. Represented by the Washington Federation of State Employees (WFSE), this position provides front line customer services at the Enrollment Services front counter and are responsible for registering students, providing individual and specific program information to prospective students, and maintaining related records using computer and specific program software. This position requires a high level of technical accuracy, attention to detail, and strong communication skills as well as the ability to work effectively with a diverse population. This position is grant-funded; continuation is contingent on ongoing funding. The priority consideration date will be on Thursday, January 25, 2024

The monthly salary range is $4,064.76 - $5,045.25 and salary placement is based on applicable past work experience. WFSE employees receive a yearly degree stipend if they have an Associate's degree ($150), Bachelor's ($250), or a Master's ($350). Key Responsibilities / Essential Functions Include

 

  • Demonstrate multicultural competence (including an awareness and understanding of historically disadvantaged populations) and create an educational and work environment that affirms commitment to equity, diversity, and inclusion.
  • Support the college's mission by creating a learning and work environment of mutual respect and fairness, while encouraging creative and critical thinking. Contribute to the appreciation of diversity and foster a climate of multicultural understanding.
  • Provide front line customer service to students and to the community, in person, by phone and electronic/online formats, assisting prospective, new, and continuing students.
  • Prioritize and manage multiple tasks, in a fast-paced environment, during peak registration times and within deadlines.
  • Using proficient computer skills, input student data, admissions, and registration transactions accurately and efficiently.
  • Effective communication skills to instruct on enrollment services process orally and written English to a diverse student population.
  • Provide information, assistance and Enrollment Services related to programs, admission, registration, and records process and procedures.
  • Maintain compliance within college policy, State and Federal regulations.
  • Interpret and work within laws, regulations, policies, inquiries, requests, and concerns.
  • Independently assist student enrollment and registration including complex, sensitive, multi-faceted enrollment situations.
  • Follow process when communicating procedural steps to provide service and program information and entry.
  • Maintain the integrity of the data and student information and transactions.
  • Work successfully when interpreting guidelines, process, and regulations regarding Enrollment Services.
  • Independently respond to inquiries, respond to concerns, and complaints of student enrollment situations.
  • Follow and maintain compliance with FERPA regulations regarding any student educational records.
  • Provide registration desk and back-office support for Enrollment Services which includes phone reception for Enrollment Services, admissions, registration data and statistical program records data entry and reports.
  • Maintain pre-registration/waitlist.
  • Contact students on waitlist when openings occur.
  • Register students into classes and file registration forms each quarter.
  • Edit and maintain information entered in the CTClink system.
  • Collect and maintain fee waivers, vouchers, and agency paperwork.
  • Maintain tuition edits and billing requests.
  • Generate refunds.
  • Maintain correspondence, enrollment transactions in CTClink
  • Make referrals to counselors, faculty, and others.
  • Work with off campus agencies.
  • Assist students with cancelled or changed classes via phone, in-person and email.
  • Maintain desk manual, keeping current with continuous changes to programs, policies, and procedures.
  • Work with instructors to access grades and process Instructor Initiated class withdrawals.
  • Complete biographic and data edits.
  • Special projects for programs, registrar, and administrators.
  • Ensure student is eligible for program, checking prerequisites, placement scores, etc.

 

Required Knowledge, Skills and Abilities

 

  • Experience or participation with persons from diverse backgrounds such as sexual orientation, racial, ethnic, religious, linguistic, gender, age, socio-economic, physical and learning abilities, and a commitment to an inclusive and equitable working / learning environment.
  • High school graduate or equivalent and two years of general office experience.
  • Proficient computer skills and knowledge of electronic database systems, spreadsheets, Word, Outlook, and Excel (SMS experience preferred).
  • Excellent leadership and interpersonal skills and ability to work effectively as part of a team.
  • Demonstrated ability to promote universal design and accessibility. Proficiency in (or ability to learn within 6 months of hire) the production of accessibly content, whether print or electronic.
  • Demonstrated attention to detail required as well as previous experience maintaining accurate records, managing multiple tasks, and planning and organizing work to meet changing priorities and deadlines.
  • Keyboarding skills at 45 words per minute.
  • Demonstrated competencies to organize, set priorities, attend to details, and follow tasks through to completion.
  • Ability to represent the college in a positive and professional manner, while using tact, discretion, and courtesy.
  • Ability to speak a regionally top spoken language other than English is preferred (Spanish, Vietnamese, Russian, Somali, and Chinese).

WORKING CONDITIONS:
Working hours are generally aligned to business hours, Monday – Friday. Occasional evening and weekend work is required. Work is mostly sedentary in nature, performed in an
office environment. Frequent use of a computer and exposure to terminal screens is required. Work and meetings may take place across campus. May drive/travel to trainings, conferences, and/or college events. This is mostly an in-person/on-campus position; remote work may occur as business permits.
