Job Description:

Under the supervision of the Director, Admissions, the Assistant Director, Admissions provides leadership and oversight for a team of Admissions Counselors and a Specialist, Prior Learning Assessment in order to assist and support students throughout the application and registration processes. This will be done in collaboration with the Recruitment Manager, Events Coordinator, Admissions Administrative Assistant, Manager of Testing Services, and other professionals as needed to deliver high-level, student- and solution-oriented options while building a rapport with students and working to understand their needs.

Knowledge, Skills, and Abilities:

  • Knowledge of student application and registration processes and procedures.
  • Experience with College policies and procedures, catalog, degrees, and prerequisite/corequisite requirements.
  • Practical knowledge of computer-based student information systems.
  • Familiarity with higher education policies and procedures related to student admissions principles and practices.
  • Outstanding verbal and written communication skills.
  • Strong organizational skills, including an ability to concurrently manage multiple projects.
  • Team development acumen, including coaching skills, conflict management and resolution; team member evaluation and training; and an ability to readily establish rapport with a wide variety of people.
  • An ability to remain calm and solution-oriented during times of stress.
  • Capacity to exercise independent decision-making abilities in accordance with the Owens mission, vision, and values and student application- and registration-related policies and procedures; a student-centric focus.
  • Good judgement and the capability to make timely, binding decisions that impact others.
  • Self-driven and motivated; ready and willing to function as a both a team leader and a team member.
  • Demonstrated supervisory skills and the ability to develop and maintain effective, collaborative professional relationships with staff and faculty colleagues.

Essential Functions:

  • Maintain a general knowledge of all college programs. Work to stay current on major/program information as well as changes at the College that impact registration, admissions, and students.
  • Collaborate with Academic Affairs, Academic Advising, faculty, and staff throughout the College to deliver a comprehensive, consistently student-centered focus.
  • Responsible for leading day-to-day operations within Admissions, including troubleshooting, problem solving, and consultation for students, faculty, and staff.
  • In conjunction with the Director of Admissions and other team leaders, develop and manage bulk student communications as they relate to admissions and registration, including the coordination of printed materials, publications, and website contents from initial development to final stages.
  • Attend College-related or outside agency meetings as related to the position and as necessary. Consistently represent the College in a professional manner. Actively participate in initiatives as relevant to functional area.
  • Handle next-level processes for students pertaining to student concerns, grievances, or complaints.
  • Collaborate with the Director of Admissions on planning and coordinating events such as orientation, campus tours, and other College-wide activities.
  • Assist the Director of Admissions in management and monitoring of the departmental budget.
  • Other duties as deemed appropriate and/or assigned.

Other Characteristics:

  • This individual must be committed to Owens students and their success, and also ready to coach and develop a team comprised of a Prior Learning Assessment Specialist and Admissions Counselors to enable successes on both team-based and personal levels.
  • The successful candidate will possess a good sense of humor, embrace diversity, demonstrate a pleasant and friendly demeanor, and be open-minded and willing to learn and grow. Ability to coach team to adopt these same professional traits.
  • Capability to professionally handle stressful situations and difficult customers; fluent in crisis management.
  • Ability to work independently with little supervision. Aptitude to comply with all regulations and policies concerning privacy of student records.
  • Willingness to step in where needed and with a positive attitude, whether this is assisting with serving food or speaking to a large community group about the College.

Minimum Requirements:

  • Bachelors Degree, plus 3-5 years of directly related experience; or a Masters Degree in Higher Education, student affairs, adult learning, or closely related field, plus 1-2 years of directly related experience; or a combination of directly-related experience and education credentials.
  • Excellent oral and written communication skills with an ability to prioritize responsibilities and tasks. 
  • Goal- and results- driven, with an ability to function both independently and collaboratively/in a team environment. 
  • Positive attitude that is open to change, as well as comfort in delivering and receiving constructive/critical feedback. 
  • Clear student-centered philosophy expected.
  • Prior experience that demonstrates an understanding of retention and persistence metrics, student assessment, and their application to the decision-making process.

Travel Required: Travel to Findlay Campus and other institutions (colleges and high schools) will be required as needed.
